Accounts Payable Supervisor

  • POSITION SUMMARY:

    The Accounts Payable Supervisor being a leader for the Accounts Payable team is responsible to oversee the processing and recording of NARA NW’s weekly Accounts Payable and communicating proactively and effectively with all shareholders to ensure accurate and timely payments.


    ESSENTIAL JOB DUTIES:

    • Supervise Accounts Payable staff to include training, evaluations, and timecard approvals.
    • Perform Accounts Payable entry for complicated/highly involved invoices as needed.
    • Complete higher-level finance tasks such as analysis of expenses and preparing journal entries to adjust or correct as needed.
    • Provide training and be the lead resource for the Accounts Payable team regarding proper processing procedures to maintain consistency, assist with coding clarification and ensure all relevant accounting and internal control principles are met. Communicate any changes to the Accounts Payable process to the team and ensure they are clearly understood by all members.
    • Review and post daily batches prepared by Accounts Payable team.
    • Maintain Positive Pay processes including submission and exceptions review.
    • Oversee Accounts Payable month-end tasks through completion.
    • Develop and initiate processes for tracking routine monthly payments to ensure timely processing.
    • Initiate ACH entries at the bank for weekly electronic vendor payments, and as needed for employee final payments, to be reviewed and approved by Assistant Controller or Controller.
    • Establish and maintain relationships with managers and employees of other departments who submit documents to Accounts Payable, such as being the subject matter expert to provide NARA NW staff instruction and/or clarification on policies and procedures.
    • Ensure all payable-related questions and issues raised by employees and vendors are resolved timely and accurately.
    • Prepare and process 1099 reports annually with the assistance of Accounts Payable team.
    • Manage the maintenance of the Accounts Payable records, electronic and/or paper.
    • Other duties as assigned.

    QUALIFICATIONS:

    • 3-5 years of Accounts Payable experience
    • Accounting/finance degree or the equivalent combination of education, training and work experience that provides the required knowledge, skills, and abilities.
    • Competence and high level of accuracy with Excel, other Microsoft Office products, accounting software (Financial Edge a plus), 10-key by touch, and/or equivalents. Exceptional interpersonal, verbal, and written communication skills and superior organizational, multi-tasking, & prioritization skills.
    • Must have the foresight of exceptional critical thinking and problem-solving skills.
    • Requires flexibility, a high-level of confidentiality, a high level of accuracy and attention to detail, and the proven ability to work professionally and collaboratively in a fast-paced team environment.
    • Ability to maintain professional boundaries with clients, the community, and other staff members.
    • Work collaboratively with clients, other NARA staff, team members, and always treat everyone with respect and dignity.
    • Experience working within the Native American/Alaska Native community is considered a plus.
    • If in recovery, must have a minimum of two years sobriety/clean time.
    • Ability to pass a pre-employment or for cause drug tests.
    • Ability to pass criminal background and DMV checks.
