    Job Summary
    Under the Collections Coordinator supervision, will initiate activities and procedures to maximize collection of delinquent student and non-student receivables and delinquent campus-based student loan accounts in accordance with the overall objectives, goals, policies and regulations established by the University and University Bursar.
    Duties & Responsibilities
    • 1. Initiate, document and manage collection activities for an assigned portfolio of delinquent student and non-student accounts receivable and delinquent campus-based student loan accounts.
    • 2. Contact debtors by phone, email and letter regarding repayment of their delinquent University of Illinois student and non-student receivable account and delinquent campus-based student loan account. Meet the monthly call goal that is set forth every fiscal year.
    • 3. Confer with campus assessing units and external collection agencies to negotiate resolution of disputed or problem accounts.
    • 4. Research and implement advanced tools for skip-tracing debtors for whom the University of Illinois does not have a current address or phone number; document and monitor the success of these skip-tracing tools, and make departmental recommendations regarding the most effective tools.
    • 5. Assist the Collections Coordinator of Student Loans and Collections with facilitating and overseeing accounts receivable collections/campus based loan collections including developing new policies and procedures to promote the overall success of collection efforts.
    • 6. Monitor debtor compliance with monthly payment agreements and coordinate follow-up communications with debtors who default on their agreements.
    • 7. Review collection activity and performance on assigned portfolio of delinquent student and non-student accounts receivable/campus based student loan accounts; prepare and submit to the Collection Coordinator monthly management reports of collection activity and performance; recommend follow-up collection activities to enhance collection performance.
    • 8. Enforce, implement, and comply with all pertinent federal, state, institutional and program rules and regulations regarding University of Illinois debt collection.
    • 9. Identify and report problems, trends and customer feedback to the Assistant Director.
    • 10. Perform other collection related duties as assigned.
    • 11. Perform basic accounting and payment application and security functions related to collection activity.
    • 12. Assign and/or assist with clerical duties including correspondence, data entry, sorting mail, filing, etc.

    Minimum Qualifications

    Any one or any combination of the following, totaling one (1) year (12 months), from the categories below:
    college course work that included courses in finance, accounting, business administration, or business management, or a closely related field:
    30 semester hours equals one (1) year (12 months)
    Associate's Degree (60 semester hours) equals eighteen months (18 months)
    90 semester hours equals two (2) years (24 months)
    Bachelor's degree (120 semester hours) equals three (3) years (36 months)
    collection, consumer credit, or business experience that required knowledge of collection methods and procedures
    One (1) year (12 months) of collection experience comparable to Collection Representative level or in other positions of comparable responsibility

    Knowledge, Skills and Abilities
    • 1. Knowledge of customer service (the principles and processes for providing customer and personal services; customer needs assessment, meeting quality standards for service, and evaluation of customer satisfaction).
    • 2. A working knowledge of office technology (word, excel, and necessary databases).
    • 3. Knowledge of Federal and State regulations pertaining to all collection programs and of the resources available to research complex issues.
    • 4. Strong written and oral communication skills.
    • 5. Mathematics and calculation skills.
    • 6. General accounting skills.
    • 7. Judgment and decision making skills (he or she can consider the costs and benefits of potential actions to choose the most appropriate one).
    • 8. Ability to handle difficult and stressful situations.
    • 9. Ability to interpret complex regulations from within and outside of the University.
    • 10. Ability to handle a large volume and a variety of details accurately and set priorities.
    • 11. Ability to adapt in an ever-changing environment.

    Appointment Information

    This is a 100% full-time Civil Service 3283 - Collection Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible.
