    Under the supervision of the Associate Dean,Health Sciences, the employee provides clerical and secretarial support for the Health Sciencesdivision of the College. The employee performs secretarial duties including high-level clerical, secretarial, and general administrative responsibilities,maintain instructional records, and provides functional support for the efficient and effective operation.Employee prepares official correspondence and maintains secure employee and student files. Organizes and arranges data to assist with statistical analysis. Represents the Institution in a positive and professional manner to College personnel and the external community. Maintains confidentiality with personnel and other senstitive matters. Employee provides support to students in application and registration, as well as serves as liason between the Associate Dean, the faculty, and students. Performs duties in support of programs within the Health Sciences.

    POSTING DATE: APRIL 11, 2024

    SALARY: Based on education and experience commensurate with Salary Schedule E4, 05 (range: $33,625 - $50,777).

    ANTICIPATED START DATE: MAY 15, 2024

    The position will be based initially at the Wallace campus in Dothan.

    Essential Duties and Responsibilities

    ESSENTIAL FUNCTIONS: The following list was developed through a job analysis; however, it is not exhaustive and other duties may be required and assigned.     ESSENTIAL FUNCTION: Office Support. Employee provides secretarial support for the office as required.
    • Answers and screens incoming calls; answers general questions, gives general information or routes to appropriate office or individual; takes and relays messages.
    • Greets students and visitors in a professional manner, assesses needs and provides relevant information.
    • Assists Associate Dean in preparing reports, such as collection of data from program related equipment usage, or utilization of designated funds in preparation of required reporting.
    • Enters data and reviews reporting information in preparation of annual reporting requirements.
    • Composes, prepares and disseminates correspondence, reports, and other documents.
    • Establishes and maintains manual and electronic filing systems for Health Sciences records.
    • Maintains confidentiality and security of information and records.
    • Maintains a calendar of events and appointments for the Associate Dean.
    • Schedules appointments, meetings, rooms and facilities for the Health Science building.
    • Prepares requisitions and purchase orders for office supplies and materials as needed; processes invoices for payment.
    • When necessary, participates in purchasing processes related to acquisition of equipment, supplies, and materials for various major funding allocations.
    • Assists with special events.
    • Serves as Notary Public for departmental documentation.
    • Coordinates package shipments and certified mail.
    • Sends maintenance and ITS requests as needed.
    ESSENTIAL FUNCTION: Records. Employee creates and maintains required records in accordance with relevant policies.
    • Maintains computer-based filing system for forms and materials.
    • Assists in researching records for completion of reports.
    • Maintains instructional records for credentialing documentation.
    • Collects, proofs, enters, and maintains course term schedules.
    • Maintains confidentiality related to background and substance abuse screening information.
    • Receives and processes background screening information, to include uploading documents into appropriate electronic filing systems, and preparing correspondence to student or clinical affiliations.
    • Coordinates vendor schedules to conduct substance abuse screenings on the Wallace Campus and the Sparks Campus.
    • Receives and processes substance abuse screening information, to include uploading documents into appropriate electronic filing systems, and preparing correspondence to student or clinical affiliations.
    • Records receipt of screening information and maintains database files.
    • Locates and assimilates clinical documents for distribution to the appropriate clinical facilities through approved protocols.
    • Assists in maintaining and or submitting revisions for College publications such as the Faculty Handbook, College Catalog, and course schedules.

    ESSENTIAL FUNCTION: College Expectations. Dependability, attendance, punctuality, and a commitment to do the job right are essential at all times.
    • Reports to work on time, at appropriate workstation or department during all departmental/position scheduled work days and during all departmental/position scheduled work hours.
    • Understands that failure to report for work and/or reporting late without prior approval are unacceptable practices and will result in disciplinary action.
    • Performs a productive full day’s work.
    • Ensures that service to students and the general public is top priority.
    • Demonstrates a considerate, friendly, respectful and constructive attitude toward fellow employees and students.
    • Adheres to all College and System policies and procedures.

    Qualifications

    • Associate's degree from an accredited college is required.
    • Two years’ full-time experience working in an office environment is required.
    • Proficiency in Microsoft office to include Word, Excel, PowerPoint, and Outlook is required.
    • Database creation and management experience with large sets of structured data (greater than 300 fields) is required.
    • Ability to work nonstandard hours specifically evenings and weekends is required.
    • Ability to obtain and maintain Notary Public credentials is required.
    • Previous experience in an educational setting is preferred.
    • Previous Banner experience is preferred.
    ADVISORY COMMITTEE: The President will appoint an Advisory Committee to include representatives of the College faculty and staff. This committee will employ appropriate procedures, including the review of application packets, interview, and demonstration of competency, to determine which applicants are to be recommended to the President for further consideration. From all the applications received, an advisory committee will select the applicants to be interviewed.
