    Position Title: Secretary to the Associate Dean for Student Success

    Position Function: This individual will support the office activities of the Associate Dean for Student Success.

    Characteristics, Duties & Responsibilities:

    • Effectively communicate both verbally and in writing on behalf of the Associate Dean and the Division of Student Affairs with students, faculty, administrators, and other internal and external constituents.
    • Provide support for events and activities offered/sponsored by the Division of Student Affairs including, but not limited to, White Coat Ceremonies, Pledge Ceremonies, Awards Ceremonies, Dean’s Hours, Career Fairs, Co-Curricular activities, and other student-centered personal and/or professional development events.
    • Maintain Student Affairs databases using appropriate software (ie. Excel).
    • Maintain College databases that are utilized for accreditation standards.
    • Follow and abide by all policies and procedures enacted by both the University and the College of Pharmacy and Health Sciences.
    • Assisting in the tracking of students participating in College-sponsored co-curricular activities
    • Support the Office of the Dean for activities not related specifically to the Associate Dean for Student Success (Staffing the reception area, provide coverage at events off hours related to the College, assist with College specific initiatives, etc.)
    • Assistant at evening and weekend events sponsored by the Division of Student Affairs
    • Managing the student lounge access coordination
    • Support the Division by scheduling meetings with internal and external constituents.
    • Maintain an inventory of supplies utilized by Student Affairs for their events and activities.
    • Effectively complete all word processing requests in a timely manner.
    • Support the College with other events and activities outside of those offered by the Division of Student Affairs including Commencement, New Student Convocations, and other College-related special events.
    • Other duties as assigned.

    Organizational Structure:

    The individual is employed as a staff member in the Office of the Dean, College of Pharmacy and Health Sciences and works under the supervision of the Associate Dean for Student Success and the Dean of the College of Pharmacy and Health Sciences.

    Qualifications:

    • Minimum of two years of secretarial experience
    • High school diploma required. Bachelor’s degree preferred.
    • Possess excellent computer skills with experience and knowledge of database, spreadsheet and word processing (Word, Excel and PowerPoint) applications
    • Demonstrate effective oral and written communication skills.
    • Has the ability to work well with others at various levels

    In compliance with NYC’s Pay Transparency Act, the annual salary range for this position is $44,100. St. John’s University considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.


    This position may be relocated to any of St. John’s University’s physical locations at any time.
