    POSITION SUMMARY:

    Associate Director or Director designation will depend on the years and level of experience of an individual. The Associate Director or Director of Customer Service is a key member of the Management Team who works toward achieving objectives established in the Strategic Plan and by the annual KPI’s. This position directs and manages the Customer Accounts and Trade Execution teams with overall responsibilities for managing the team who manage all steps in the order-to-cash process. This position manages and oversees the Customer Accounts team, including customer interactions in conjunction with the Sales Manager team, receipt of forecasts and later PO’s from customers, processing the PO’s in the IMP system and requesting transportation bookings from the Trade Execution team. This position also oversees the Trade Execution team who is responsible for transportation bookings and confirmations. This position will work closely with the Warehouse teams who coordinate customer pick-ups and deliveries. This position provides leadership, coaching, mentoring, and training while supervising and coordinating activities of 8 employees. In conjunction with the Customer Accounts and Trade Execution teams, this position builds and manages SOP processes for activities associated with order-to-cash, and ensures customers send forecast and PO’s in time to receive OTIF (On time in full) orders from IMP. He/she is an expert in all customer service activities. This position requires a high level of understanding surrounding the relationship between internal and external customers in the order-to-cash process. This ranges from customer direct interaction to shipment of goods to invoicing and customer payments. The ideal candidate can anticipate and prevent problems within the order-to-cash process and address them in a timely manner. The Associate Director or Director of Customer Service must be a leader and a change agent who is a role model for our Purpose and Values.

    ESSENTIAL FUNCTIONS, DUTIES AND PERFORMANCE RESPONSIBILITIES:

    This is a key position within our company that: 

    • Coordinates order-to-cash activities through detailed planning with cross functional departmental supervisors and managers to ensure team and IMP objectives are accomplished in a timely and cost-effective manner.
    • Establishes and monitors overall customer service (Customer Accounts and Trade Execution) performance for high quality execution of the order-to-cash process.
    • Ensures IMP, customer and country regulatory requirements are met.
    • Ensures cross functional teams who do not report to them directly are closely collaborated with via strong communication skills.
    • Establishes comprehensive SOP’s for all processes withing the order-to-cash cycle to ensure steps not being missed.
    • Establishes infrastructure for dealing with departmental turnover.
    • Establishes, measures, and tracks KPI goals for IMP and the individual team and team members via the PDP process. 
    • Uses this information to drive costs down within the departments and increase overall effectiveness.
    • Manages a team of salaried and hourly employees in the most cost-effective manner.
    • Utilizes the Performance & Development (PDP) Plan process to set and communicate objectives and identify personal strengths and development goals.
    • Oversees and ensures collaboration between teams.
    • Works with the continuous improvement team to identify and implement opportunities.
    • Works with cross functional teams like Quality Assurance, R&D, Operations, Sales, Warehousing, etc., to ensure customer needs are being met accurately and in a timely manner.
    • Maintains a strong working relationship with critical trade and government organizations to ensure they are ahead of country and customer regulatory changes that may affect shipments.
    • Creates and administers the work schedule of all direct reports.
    • Works with the Inventory Control Specialist to achieve customer fulfillment.
    • Works closely with the production management and production teams to ensure customer forecasts against contracted volumes are met.
    • Collaborates with accounting to establish credit terms for customers and ensure on time payments from customers.
    • Attends trade organization meetings alongside the sales management team to ensure face-to-face interaction with customers.
    • Measures and tracks compliance to shipping and receiving schedule by product.
    • Fosters teamwork within the workplace while utilizing daily measures to achieve desired results.
    • Creates an environment that encourages employee involvement and fosters innovative ideas on process improvement.
    • Identifies and recommends expenditures in support of food safety and quality.
    • Provides leadership and training to accomplish the company goals and objectives.
    • Provides direction, development, and leadership to Management and Supervisors.
    • Utilizes manager and supervisor meetings to communicate progress against measures and share objectives.
    • Solicits ideas from employees regarding the improvement of a safe work environment.
    • Supports a safe working environment for all employees.
    • Ensures compliance with plant safety training programs.
    • Communicates safety issues/concerns to all employees.
    • Performs other tasks and projects as assigned.

    POSITION SPECIFICATIONS/QUALIFICATIONS:

    Education:

    • Required: Bachelor’s degree in Dairy science, Engineering, Business Management, or related field.
    • Preferred: Master’s degree or equivalent.

    Experience:

    • Minimum 15 years’ experience in the food industry, including dairy industry, Customer Service and Trade Execution experience.
    • DIRECTOR: Minimum 15 years’ experience leading people in a highly diverse and challenging work environment.
    • ASSOCIATE DIRECTOR: Minimum 8 years’ experience leading people in a highly diverse and challenging work environment.
    • Required: Experience executing activities related to issuing export licenses and completing associated transactions with the export process. This includes the completion of customs documentation and shipping and receiving of foreign merchandise in a global company via air or ocean freight.
