Job Summary
Under direction of the Associate Director of Finance and Administration for the Department of Chemical and Biomolecular Engineering (ChBE), provide financial and administrative oversight, reporting, and analysis in the department as well as assist in the ChBE Student Services Office.
Duties & Responsibilities
Finance:
- Conduct financial oversight, analysis, and reconciliation of 400 accounts for all expense types including state, ICR, self-supporting, federal, and private grants, and gift/endowment funds.
- Prepare reports, gather financial and academic data, and assist with presentation preparations for the Associate Director of Administration and Finance (ADFA) with internal and external reporting of all department funds.
- Oversee departmental expenditure approvals and purchasing via Chrome River, Reactions, and other internal purchasing systems. Serves as proxy for the ADFA as needed in various systems requiring review or approval based on policy guidelines
- Track and analyze departmental expenditures. Maintain spreadsheets that track financial and administrative data needed by the ADFA. Offer cost saving suggestions and funding strategies and process any necessary expense, budget, and/or salary transfers on behalf of ADFA.
- Assist ADFA with devising strategies to manage faculty research accounts, manage short-term deficits, ICR restructuring, and start-up funding for faculty.
- Review endowment accounts, offer guidance to ADFA regarding investment options and expenditure levels. Prepare reports and analysis for use of scholarship and fellowship funds
- Review/approve student account payment and foreign national payment requests and provide associated reports and analysis to the ADFA.
- Responsible for completing a monthly review of department work orders and making necessary expense transfers as needed.
- Assist the ADFA to formulate summer instructional budget requests.
- Other assignments as necessary to further the mission of the unit
Administrative:
- Oversee operations in the Department of Chemical and Biomolecular Engineering office in the absence of the Associate Director of Finance and Administration (ADFA) which includes temporary supervision of office staff.
- Assists the ADFA with administrative needs of the department. This can include maintaining/updating forms, maintaining internal website information, and review department policies, processes and procedures.
- Assists ADFA with approval of bi-weekly timesheets for student workers (classroom assistants and tutors) as well as serve as delegate department head for review/approval of department expenses reports.
- Other assignments as necessary to further the mission of the unit
ChBE Student Services Office:
- Budgets
- Work with the Undergraduate Program Coordinator and Graduate Program Coordinators on developing and administering their program budgets.
- Work with the Undergraduate Program Coordinator and Graduate Program Coordinators on developing and administering annual RSO and student organization budgets and review/approve expenditures all while following university policies and guidelines.
- Operations
- Assist the Undergraduate Program Coordinator and Graduate Program Coordinators for the Department of Chemical and Biomolecular Engineering. Duties include but are not limited to: assist the Director of Undergraduate Studies (DUS) and the Director of Graduate Studies (DGC) to administer the corresponding program.
- Other assignments as necessary to further the mission of the unit.
Required Qualifications
Bachelor's degree in business administration, management or a field related to position. Two (2) years of professional business, financial, and/or managerial work experience. (NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
Preferred Qualifications
Master’s degree in business administration, management, or a field related to the position. Five (5) years of professional experience in business, financial/account management and/or budgeting.
Successful candidates will have the following:

Knowledge of university operational procedures and accounting systems including knowledge of expenditure allowability and departmental and campus policies.
- Expertise in compliance regulations surrounding campus, state, federal, and industrial financial support, knowledge of applicable accounting and auditing principles.
- Knowledge of the University of Illinois, state, federal, private, and institutional policies and procedures.
- Thorough knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership techniques, production methods, and coordination of people and resources.
- Ability to prepare reports and proposal with minimal oversight.
- Ability to identify complex problems and review related information to develop and evaluate options and implement solutions.
- Ability to analyze and develop guidelines, procedures, and systems to outline specific goals and implement plans to prioritize, organize, and accomplish tasks.
- Ability to manage a budget and work within the constraints of that budget.
- Ability to communicate effectively with others.
- Awareness of, and sensitivity to, cultural and linguistic differences. Commitment to diversity and inclusion.
- Ability to work harmoniously with faculty, staff, and students from a wide variety of disciplines.
- Proven track record of customer services with particular emphasis on interactions with faculty and graduate students.
- Ability to effectively and efficiently utilize administrative and clerical processes, procedures and systems.
- Extensive knowledge with commonly employed software, databases and web applications including Excel.
- Results oriented with strong organizational and time management skills.
- Ability to work independently and effectively organize and prioritize multiple tasks.
Appointment Information
This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. Salary is commensurate with experience.
