Job Summary:
Administrative Assistant for Select Academic Programs, Extended Education Hanson Technology Center (HTC). The Administrative Assistant position performs both customer-facing (students, faculty, staff and visitors) and department administration activities in direct support of each department and their respective executive leader. The job duties below detail the responsibilities the role.
Essential Functions:
1. Conducts research, drafts correspondence, and assists with budget research, invoices, preparation of expense reports, etc.2. Coordinate with Regen Trucking and Macomb Community College on class schedules and class enrollment3. Works closely with Education Faculty and coordinates with local school districts for student placement.4. Manage student inquiries including processing completed program applications5. Create course CRN and appropriate courses.6. Registers students for extended education and short-term training classes. Responsible for accuracy of registration forms and informing registrant of pertinent information including next steps.7. Evaluates and enters student and course data and produces reports when requested8. Processes registration forms and pertinent documentation from students. Schedules appointments as well as building and room schedules where appropriate.9. Serves as HTC receptionist. Assists students and visitors by providing information, directions, and forms; in person, by phone or email.
10. Provides assistance with technical education, Fab Lab, contract training, workforce training, and apprentice training projects.11. Supports HTC staff and faculty in preparing training reports, apprentice/trainee progress reports, contracts and education/training materials.12. Maintains and assists in logistics of Hanson Technology activities, including special events, workshops, Fab Lab activities, and other activities/events held at the HTC.

Accountabilities:
Under the direct supervision of the Associate Dean South Haven Campus and Select Academic Programs and the Director of Extended Education, the Administrative Assistant is responsible for executing administrative functions required to support the Associate Dean South Haven Campus and Select Academic Programs and the Director of Extended Education and providing administrative support to students, visitors, staff, and faculty of the Hanson Technology Center. May supervise student employees.
Job Specifications:
Associate degree required; Bachelor degree preferred. Minimum of two years office experience required. Proficiency with Microsoft Office applications with word processing, spreadsheets required; database and desktop publishing experience preferred. Must be detail oriented, have strong organizational skills and the ability to handle multiple priorities. Customer service skills and communication skills essential. Must maintain confidentiality.
