JOB DESCRIPTION

Summary/Objective

Valtim Marketing Solutions Estimator is a critical position within Valtim Marketing Solutions. Estimators are responsible for evaluating bid specifications and layouts, ensuring that we know everything required to successfully bid and win the project. Estimators must aggressively follow-up with vendors to ensure that bids are received and at the best price. Estimators also work with the Project Management teams to follow-up on bids and budgets to close the business.

• Estimator, purchasing, mechanical, operations

Essential Functions

• Identifying and quantifying cost factors, such as time, materials and expenses
• Reading job specs and technical documents
• Evaluating the profitability and viability of a project
• Recommending cost-cutting methods to increase profitability
• Using computer software to prepare estimates and supporting documentation
• Participate in proposal preparation and client presentations
• Communicate with other departments, engineers and project managers to resolve issues
• Bid Administration
  • Prepares and maintains status of project reproduction
  • Solicits and maintains communication with vendors
  • Prepares vendor bid specifications
  • Transmits addenda and other bid information to vendors
  • Ensures that we have the proper coverage from vendors by final quote due
  • Shows creativity and resourcefulness to gain better pricing from vendors
  • Submits bids and budgets by the bid deadline
  • Enters all relevant information into EFI/Pace
• Project Knowledge
  • Review bid requirements thoroughly and asks follow-up question on every project
  • Has a thorough understanding of the scope for specific requirements assigned
  • Understands how workflow of project will be maintained through production
  • Creates bid lists that fit scope of job, ensuring that we have the right vendor selection for the project
  • Minimize exclusions by “doing our homework”
  • Include value-engineering ideas on every bid
• Vendor Award
  • Thoroughly checks requirements to buy the proper scope of work
  • Awards outsourced items in a timely manner to ensure release of materials per client specifications
  • Ensures that vendors are aware of (and commit to) the project schedule
• Vendor Management

  • Holds Vendors to the Valtim Marketing Solutions standards

  • Excellent written and verbal communication skills.
  • Must have a complete knowledge of cost accounting, all printing processes, mailings, paper and purchasing.
  • Must know Microsoft Office products including Word and Excel.
  • Must be self-motivated & punctual.
  • Must be able to manage multiple tasks and have excellent follow up skills both internally and externally.
  • Must be professional and polished in appearance and speech

RELATIONSHIPS AND CONTACTS

Highest Level Managed: none

Organization Relationships: This position interacts and communicates directly and regularly with exempt, nonexempt employees daily, as well as Supervisors, Managers and Directors/Executives routinely.

External Business Relationships: This position interacts and communicates directly with outside vendors as needed.

WORK ENVIRONMENT

This job operates in a professional office. This role routinely uses standard office equipment such as laptop computers, photocopiers and smart phones.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to effectively communicate and listen, stand; walk; sit; and reach. This would include the ability to lift files, open filing cabinets and bend or twist as necessary. Specific vision abilities required by this job include close vision and ability to adjust focus as well as the ability to view colored proofs for accuracy.

POSITION TYPE/EXPECTED HOURS OF WORK

Standard office hours are Monday through Friday, 8:00 a.m. to 5 p.m. with evening and weekend hours as needed. Production hours vary by department.

REQUIRED EDUCATION AND EXPERIENCE

• High School diploma or equivalent.
• Related work experience of three to five years.
• Must have strong analytical and customer service skills.
• Must have advanced computer skills (including Microsoft Word, Excel, and Outlook).

PREFERRED EDUCATION AND EXPERIENCE

• BA/BS degree.
• Related work experience over five years.
• Related experience a plus: Printing, Mailing, Fulfillment
