    The Administrative Director (AD), Behavioral Health is the business strategy and operational lead for the Department of Psychiatry. The AD is the administrative partner to the Chair of Psychiatry and Associate Chief Nurse and his/her scope of responsibility includes business strategy, interinstitutional programs and relationships (Mass General Brigham Behavioral Health Service Line, NWH Behavioral Health, NWH Emergency Dept, NWH Dept of Medicine and MGB counterparts), financial and operational performance. The AD reports to the senior leader of clinical operations for Newton-Wellesley Hospital and works alongside the Chair of Psychiatry, Clinical Director and the Associate Chief Nurse. The AD works with these leaders, and other hospital directors and senior leadership to advance the goals of NWH and MGB Behavioral Health.

    The Newton-Wellesley Behavioral Health service includes the following service areas: Adult Psychiatry, Child and Adolescent Psychiatry, ED Triage and Substance Use Services. The Department employs a team of hospital-based providers and support personnel that includes Administrative Assistants, Practice managers, Social Workers, Recover Coaches, Physicians, Advanced Practice Providers, and Practice Specialists/Medical Assistants.

    Essential Functions:

    • In conjunction with the Clinical Operations senior leadership, Chair of Psychiatry, Associate Chief Nurse, develop strategic plan for the Department that aligns with MGB Behavioral Health. Work with Chair and Chiefs to create plan and implementation strategy to achieve these goals.
    • Work in conjunction with Chair to ensure physician/provider engagement, retention and communication.
    • Hold monthly meetings with each of the Chiefs/Medical Directors and Associate Chief Nurse, to review performance dashboards for their areas, work on strategic initiatives.
    • In conjunction with Chair, lead monthly Division Chief meeting, providing hospital and business updates and reporting out on other operational projects and metrics that relate to the Department.
    • Attend Departmental meetings; assist Chair and Associate Chief Nurse with development of agendas and participate as needed in presenting.
    • Oversee Practice Managers and Administrative Assistants, as well as the team of hospital-based providers
      • Regular meetings with the Practice Managers to obtain operational updates on practices, review performance data, provide mentorship.
      • Prepare and review business plans:
        • Work closely with MGB Strategy, Planning and Business Intelligence, and MGB Strategy and Development to prepare and complete business plans
    • Hold regular meetings with practice managers to highlight and discuss any issues faced by the teams, provide hospital and departmental updates, share best practices
    • Serve as administrative liaison for the Department with nursing leads; attend Patient Care Services and Department of Psychiatry Committee meetings as needed, as determined by Chair and Associate Chief Nurse.
    • Serve as administrative liaison for the Department with inpatient administrative and nursing leads.
    • Oversee efforts to improve patient experience; review NRC dashboards with team on a monthly basis.
    • Work with administrative and clinical leadership to develop, oversee and report on physician compensation for designated employed physicians. Responsible for processing settlements due and/or adjusting physician salaries.
    • In conjunction with Chair, develop appropriate physician productivity targets for inclusion in new or revised compensation plans; track on performance and share performance data with physicians on a regular basis.
    • In conjunction with Chair, ACMO, Clinical Operationssenior leadership, and Contract Specialist, as well as with MGPO/BWPO/MGB counterparts, develop any new PSAs and/or space & support agreements. Track performance of these contracts;
    • Develop and maintain working relationships with MGB Behavioral Health Administrative Directors, Executive Directors, VPs and other clinical leaders, from the Provider Organizations (PO's), for successful collaboration.
    • Responsible for monthly NWH Close Meeting report-out for Department of Psychiatry.
    • Manage financial performance of all hospital-based designated sites. Review generated reports to assess and improve upon financial performance.
    • Oversees revenue cycle, budgets and variance reporting for each line of service.
    • Responsible for developing and reviewing business plans and projected profit and loss statements as needed for new initiatives
    • MGB system responsibilities:
      • With Chair and Associate Chief Nurse, lead system work from NWH perspective, for any system-level work in Behavioral Health in the future.
        • Attend necessary interinstitutional planning meetings.
        • Work closely with counterparts at other MGB entities.
    • Work with Practice Managers and Medical Directors/Chiefs to consistently assess for the need to improve quality of care through process redesign work and execute on this improvement work where needed.
    • Work to create culture of safety within each hospital-based service line.
    • Work with practice managers and medical directors/chiefs, to improve operating efficiency at sites as needed to meet or exceed budget projections, including standardizing policies and procedures across all practice sites.
    • Meet or exceed quality, safety and patient experience goals.
    • Ensure compliance with all regulatory agencies.
    • Serve on hospital committees as needed/requested.
    • Other duties as assigned.

    Supervisory Responsibility

    • Practice managers, Administrative Assistants and Service Line Managers for hospital-based programs will report directly to this position.
    Qualifications

    Education

    • Bachelor's degree required.
    • Graduate of MBA, MHA or MPH program preferred. Lean, Six Sigma, Project Management training preferred.

    Experience

    • Five to seven years' experience in physician practice management with at least three years' experience in physician practice management.

    Knowledge and Skills

    • Must be able to work independently and in teams, develop & analyze financial data, oversee projects and manage staff. Knowledge of physician compensation plans is essential.
