Service encompasses all aspects of the Pokagon Band of Potawatomi Indian’s governmental operations. Every employee shares the responsibility to provide exemplary customer service, dignity, and respect to all Tribal Citizens, the Tribal Council, and staff members. To this end, all employees have an obligation to identify and report any service problems, issues, or concerns and through designated channels, initiate, recommend, and actively participate in solutions.
Position Summary: Serve clients by timely and accurate review of encounter forms and charge capture for completion of documentation and coding, with understanding of the appropriate coding system including ICD-10, CPT and HCPCS codes. Prepare and submit electronic and paper claims to the appropriate payer and post third-party payments to appropriate accounts, interpreting payor explanations of benefits and assisting Medical Billing Specialist in receivable/denial management and follow-up.
Essential Functions:
- Examine registration data, insurance coverage, eligibility and benefits, and review payor websites or contact payors by phone to assist patient registration staff with maintaining accurate and up-to-date insurance coverage information on patient accounts.
- Review charges for diagnoses, modifiers, and all billable services performed or ordered by providers, including Physicians, Chiropractors, Nurse Practitioners and Physicians Assistants, Licensed Counselors, and Dentists using the appropriate coding system including ICD-10-CM, CPT-4, CDT, and HCPCS codes.
- Submit claims to payors such as Medicare, Medicaid, VA and commercial insurance plans, either electronically or on the appropriate claim form, and work front end edits in billing software as well as clearinghouse.
- Work aged accounts and rejections, prioritize based on timely filing, look up payer eligibility using payer websites or contact payers to gather needed information for billing. Fix claim issues, update accounts and promptly re-bill.
- Obtain and submit copies of medical or dental documentation as required or requested by third party payers.
- Post payments received to computer business office software and other Pokagon Band record keeping systems. Prepare daily or weekly check posting deposit summary and submit to the Healthcare Revenue Cycle Manager or Staff Accountant.
- Maintain technical knowledge, understand Tribal Health regulations, and keep current with changes in ICD-10, CPT-4, CDT and HCPCS coding requirements, and third-party payer reimbursement policies through continuing education, Medicare updates, seminars, workshops, etc.
Non-Essential Functions:
- Assist with Provider training in billing procedures and documentation requirements.
- Perform other related functions as assigned.
- Assist Dental biller as needed.

Position Requirements:
- High School Diploma or GED required.
- Associate’s Degree in a health care related discipline from an accredited institution whose program of study has been recognized by the Council for Higher Education Accreditation or the United States Department of Education is preferred.
- Minimum of one (1) year prior administrative support work experience in a medical or dental related field, experience with medical or dental billing preferred.
- Successful completion of medical and dental terminology, ICD-10 and CPT/CDT coding, billing, and electronic billing software training, or course work within reasonable negotiated period of time required.
- Prior experience in the use of electronic health records required EPIC related experience preferred.
- Proficiency with MS Office Applications required.
- Knowledge of HIPAA Privacy and Security Regulations required.
- Excellent communication and interpersonal skills, and the ability to speak effectively and respond to questions.
- Strong delivery of positive customer service and good communications skills, both oral and written.
- Accurate keyboard skills.

Physical Requirements:
- Work is generally sedentary in nature and will frequently require sitting, however standing and walking will occasionally be necessary.
- Frequently required to use hands and fingers to operate equipment.
- Frequently required to talk and hear.
Work environment:
- General office environment. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc.
