Position Overview:
The School Bookkeeper will play a crucial role in maintaining accurate financial records and ensuring the smooth financial operations of Meridian Medical Arts and Meridian Technical Charter. This individual will be responsible for managing day-to-day financial transactions, budget tracking, and collaborating with various stakeholders to support the schools' financial objectives.
Responsibilities:
1. Financial Record Keeping:
- Maintain accurate and up-to-date financial records using accounting software (e.g., QuickBooks and Bplus).
- Record and classify financial transactions, including invoices, receipts, and payments.
- Organize and maintain physical and digital financial documentation.
2. Budget Management:
- Assist in the development and monitoring of the schools' annual budget.
- Track expenditures against approved budgets and provide regular financial reports to relevant stakeholders.
- Collaborate with school leadership to ensure budgetary compliance and address any discrepancies.
- Conduct financial analysis to identify cost-saving opportunities.
3. Accounts Payable and Receivable:
- Process invoices, purchase orders, and expense reports in a timely manner.
- Coordinate with vendors and suppliers to manage accounts payable.
- Manage other receivables.
- Implement efficient systems for invoicing and payment processing (e.g Revtrak).
4. Financial Reporting:
- Generate accurate and comprehensive financial reports for school administrators and board members.
- Provide financial data and analysis as needed for decision-making.
- Develop and maintain customized financial reports to meet the specific needs of various stakeholders.
- Present financial reports during meetings and provide insights into financial performance.
5. Audit Support:
- Assist in the preparation and coordination of annual financial audits.
- Provide necessary documentation and support auditors during the audit process.
- Implement recommendations from audits to improve financial processes.
- Conduct internal reviews to ensure ongoing financial compliance.
6. Payroll Processing and HR Support:
- Collaborate with the HR department to ensure accurate payroll processing.
- Verify timesheets, deductions, and benefits to ensure compliance with relevant policies and regulations.
- Maintain accurate records of employee payroll information.
- Implement payroll enhancements and keep abreast of changes in payroll regulations.
- Assist in the hiring process by obtaining and reviewing appropriate hiring documents, including I-9 forms and W-2 forms.
- Provide support to employees with benefit selection and facilitate benefits enrollment processes.
- Work with the District office payroll department to submit required information to PERSI
7. Compliance:
- File compliance reports as needed (eg. Sales Tax, 1099’s)
- Stay informed about relevant financial regulations and ensure the schools' financial practices comply with local, state, and federal requirements.
- Collaborate with external accountants or auditors as needed.
- Develop and update financial policies and procedures to ensure compliance.
- Conduct regular training sessions for staff to enhance financial compliance awareness.
- Collaborate with West Ada District Finance and Human Resources staff to ensure proper communication and processes exists between West Ada and Meridian Technical and Meridian Medical

Qualifications:
- Bachelor's degree in Accounting, Finance, or a related field.
- Proven experience as a bookkeeper or in a similar financial role.
- Proficient in using accounting software (e.g., QuickBooks) and MS Office Suite.
- Strong attention to detail and accuracy in financial record-keeping.
- Excellent organizational and time-management skills.
- Knowledge of relevant financial regulations and compliance requirements.
- Effective communication skills and the ability to collaborate with various stakeholders.
