General DescriptionThe Branch Coordinator plays a vital role in supporting the administrative tasks of any of our 9 locations in the State of Florida by utilizing our centralized system to remotely assist other branches. This position is responsible for ensuring efficient operations and maintaining accurate records. The Branch Coordinator will perform various administrative duties to facilitate smooth workflow and contribute to the overall success of our organization.Responsibilities:- Open new job assignments by capturing loss information and entering it into our project management system.
- Create and maintain a comprehensive subcontractor profile database to ensure program compliance.
- Manage accounts payable process, including entering subcontractor invoices and obtaining necessary approvals for payment release.
- Enter expense vouchers accurately into the accounting system.
- Perform job cost coding in the accounting system to ensure accurate financial tracking.
- Generate and submit invoices to Insurance Carriers for services rendered.
- Assist with bank deposit processing.
- Provide Notary Service (if a notary) as needed.
- Distribute necessary documentation to ensure license board compliance.
- Process requests to open purchase orders as required.
- Handle branch office supply orders to maintain inventory.
- Reconcile receipts from vendors such as Home Depot and Lowes, obtaining approvals for payment release.
- Perform any other duties as assigned to support branch operations effectively.
Requirements:- High school diploma or equivalent.
- Previous experience in administrative or office support roles.
- Proficiency in project management systems, accounting software, and Microsoft Office Suite.
- Exceptional attention to detail and accuracy in data entry and record keeping.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Ability to work independently while maintaining effective collaboration with team members across different locations.
- Notary certification (preferred but not required).
