    The Finance & Budget Associate Director for the Hesburgh Libraries serves as the primary financial manager for the Hesburgh Libraries. This role has a broad range of responsibilities including: -
    • Managing the financial operating framework for the Libraries, including development and oversight of the Libraries' $32 million annual budget and strategic financial planning.Strategic planning of labor budgets.
    • Facility management
    • Providing expertise and counsel regarding the Libraries' financial resources to the Edward H. Arnold Dean, Hesburgh Libraries and University of Notre Dame Press.
    • Serving as project lead or sponsor on appropriate projects within the libraries' Strategic Framework.
    • Serve as a trusted campus partner with other financial leaders across the university.




    • While this position will report directly to the AUL, Operations and Enterprise Services, it has a secondary reporting line to the Edward H. Arnold Dean, Hesburgh Libraries and University of Notre Dame Press.

    Duties include:
    • Financial Management and Planning Leads all financial operations, strategic financial planning, and development of an annual $32 million operating budget. Steward $7.6 million in endowed funds to balance with library priorities and specific donor designations. Partner with the Dean and other Library leadership in both short-term and long-term budget planning and coordination with the Office of the Provost, Budget Office, and other campus partners as applicable. Provide management and guidance to one financial professional staff member. Establish Hesburgh Libraries financial policies and procedures. Interpret, communicate and ensure compliance with University policies and procedures governing financial practices and budget expenditures. Oversees development and presentation of Hesburgh Libraries financial information to Provost and other campus administrators.

    • Operational Budget Management and Reporting - Monitors the year-to-date financial performance of the Library's budget. - Coordinates the quarterly financial processes, including reporting, transfers, corrections, and reconciliations. - Provides year-end projection figures for various aspects of the budget. - Partners with several program directors to provide guidance on the financial performance of their budgets. - Helps design and maintain a financial dashboard of summary information and key performance indicators. - Program level supplies, travel, and professional development - Restricted fund budgets and spending plans - Process definition and documentation of the budget development effort and results

    • Acquisitions Budget Development and Management With the Senior Business Analyst, coordinates the $12 million Hesburgh Libraries Acquisitions budget, which is used to acquire books, journals, subscriptions, datasets, and various electronic resources. This is the most complex component of the overall budget, as it is tracked in multiple systems, it has dozens of funding sources, and it involves many users. - Works with Library faculty subject specialists to manage available funds and purchases. - Regularly reconciles the Library Acquisitions financial system (ALEPH) with the University's financial system (Banner). - Designs, develops, and runs reports from the various operational data stores to help with financial monitoring and planning. - Develops forecasts of significant cost areas, such as serials and standings orders ($7.5 million), and their associated inflationary factors. - In coordination with the Resource Acquisitions and Discovery program, supports the year-end process for closing the 30 Acquisitions budget and rolling it into the following fiscal year.

    Minimum Qualifications:
    Bachelors degree (4 years) - preferred in a business major, such as Finance or Accounting.
    5 to 6 years experience
