Position Overview:
The primary responsibility of this position is to provide staff support in all areas of client new business paperwork, which will include, but are not limited to: completing paperwork prior to the client’s scheduled visit to the office; meeting with the client to attain signatures on completed paperwork; attaining signature of the lead advisor on all paperwork; processing paperwork specific to requirements by the company that the paperwork it is written on, and following up with partnering companies to assure accuracy and promptness of each transaction. This position will work closely with the advisors and will engage with all other staff members for operational tasks.
Position Requirements:
- Minimum of 2 years of experience in client services in the financial services industry preferred, not required
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and prioritize effectively
- Proficiency in Microsoft Office Suite and experience with client management software
- Series 6 & 63 Licensure preferred, but not required
- Life & Health License preferred, but not required
- Knowledge of standard office administrative practices and procedures
- Ability to communicate with co-workers, clients and various business contacts in a courteous and professional manner
- Ability to investigate, research, and resolve inquiries.
- Ability to maintain a high level of integrity and discretion in handling confidential information
- Ability to make rule-based and analytical decisions
- Ability to organize, prioritize and handle multiple tasks
- Ability to pay close attention to detail, work under pressure and meet deadlines
- Ability to take complete and accurate notes
Job Duties:
- Coordinating and managing all aspects of client new business paperwork, ensuring accuracy and compliance with regulatory requirements.
- Organizing and maintaining all aspects of the Pending Follow-up Process to ensure timely completion of client transactions.
- Managing and updating client information in the database and other software systems as necessary.
- Collaborating with the team to ensure seamless communication and efficient workflow.
- Performing various administrative tasks associated with the role including filing, scanning, and faxing.
- Contributing to ongoing process improvement initiatives to enhance the client experience and overall efficiency of the firm.
- Responding to incoming calls and emails in a timely and professional manner.
- Providing excellent client service by addressing questions, concerns, and issues promptly and efficiently.
- Performing other duties and projects as assigned.
