  • The class works under general supervision and requires considerable knowledge of clerical functions and office and/or program policies and procedures. Performs routine administrative tasks; independently provides explanation, orally and/or in writing, of services or activities of assigned area, including formulating interpretation of policies and procedures as they would apply in each situation. Makes recommendations regarding program activities and assists in developing new procedures related to established program policy.

    Essential Functions and Responsibilities (% of duties): 40% - Manages business functions of administrator's office; prepares and monitors budgets, transfers funds with direction; processes bills/invoices for payment; purchases supplies and equipment and reconciles same within procurement systems; keeps fiscal and personnel records.

     

    Trains, manages, oversees, and delegates responsibilities to student office assistants. Assists with academic records and legal forms for dental hygiene students as needed. Answers, screens, and transfers inbound phone calls including patient scheduling. Maintains office supply inventory including printing documents necessary for the patient charts. Coordinates daily operations and general clerical duties of the dental hygiene office including typing, photocopying, faxing, printing, and mailing. Maintains electronic and hard copy filing systems. Maintains office equipment. Receives and directs visitors and patients. Handles requests for information and data from various constituents including mailing radiographs, faxing/receiving physician consultation forms, prospective student packets, etc. Communicates with dental hygiene students and patients regarding appointment book scheduling; orders forms necessary for clinical procedures.

     

    30% - Relieves supervisor of routine administrative duties; makes recommendations regarding program activities; researches and analyzes materials, information, and programs; provides technical information and advice to administrators to aid in decision making; assists in developing new procedures related to established program policy; serves as liaison between administrator and subordinates; transmits decisions and directives; represents administrator at meetings and conferences.

     

    Uses applications and programs to create assessment and quality control reports required for accreditation compliance. Organizes information for accurate and timely reporting. Assists program director and faculty with updating orientation materials, such as order forms for dental hygiene instruments, handpieces, typodonts, magnification loupes, clinical apparel, and clinical supplies. Assists faculty with clinic log books, faculty manuals, and preparation of course/program manuals and places orders with printing services.

     

    Assists faculty with ordering clinic supplies. Assists program director and faculty with examination materials, syllabi, course review, final grade, and tracking forms.

     

    30% - Assists with the collection of required documentation for all full- and part-time dental hygiene faculty such as licenses, CPR certification, Bloodborne Pathogens Training, Tb tests, Hepatitis B immunizations, Continuing Education Certificates, and documentation for accreditation. Manages required documentation for dental hygiene students such as immunizations, CPR certification, Tb tests, physicals, and dental examinations. Reviews book orders with faculty and forwards to the bookstore by deadlines.

     

    Facilitates events including room reservations, meals, and parking, etc. for events as assigned. Records, compiles, transcribes, and distributes minutes of meetings. Schedules and coordinates senior class activities. Assists program director and clinic coordinator with scheduling fingerprinting procedures.

     

    Other Functions and Responsibilities: Performs other related duties as assigned.

     

    Equipment Operated: Computer and all other standard office equipment.

     

    Work Schedule: Typically, M-T-W-Th-F 9:00 a.m. - 3:30 p.m. Schedule will vary based on departmental need.

     

    Supervision Exercised: May exercise supervision over student employees.

    Knowledge, Skills, and Abilities:

     

    Knowledge of: budgeting procedures*; public relations; office management; administrative practices and procedures; general office practices and procedures; English grammar and composition; arithmetic that includes addition, subtraction, multiplication and division; unit-specific office practices and procedures*; records management; business communications; Microsoft Office programs and  database capabilities; dental terminology and experience with dental practice management software.

     

    Skill in: typing and communication; organization; operation of personal computer, office equipment, and software applications.

     

    Ability to: gather, collate, and classify information according to established methods; collaborate on projects; prepare and deliver presentations; write directives, memos and other publications; define problems, collect data, establish facts, and draw valid conclusions; handle sensitive contacts with public and other work units; deal with problems involving several variables within familiar context; apply principles to solve practical, everyday problems; interpret instructions in written or oral form; write routine business letters following standard procedures; complete routine forms or records; make appointments; arrange items in numerical or alphabetical order; assess questions and provide appropriate information or referral.

    Minimum Qualifications: At least an associate degree in business administration, management science, public administration, or a related field; or a high school diploma or GED and at least two years of experience in the secretarial and/or administrative professional field to include office management, public relations, and/or budgeting.

     

    Preferred Qualifications: A bachelor’s degree in a related field and one year of work experience in a dental office. Familiarity with academic program accreditation standards, data collection, and reporting; dental/medical records management according to HIPAA standards. Experience working in a dental hygiene educational setting with faculty, staff, and students. Existing relationship with dental/healthcare providers and the surrounding dental/medical community. Experience interacting with healthcare providers, staff and patients, and managing patient traffic and flow. Experience in managing patient appointments and appointment logs, arranging of and release of patient medical records to referring dentists or physicians, maintaining a database of patients, assisting with equipment and supply inventory record keeping, assist with orienting part-time faculty. 

    Physical Requirements: In accordance with the U.S. Department of Labor physical demands strength ratings, this position will perform sedentary work.

     

    Sedentary: work involves exerting up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time. Jobs may be defined as Sedentary when walking and standing are required only occasionally and all other Sedentary criteria are met.
