Position Title: Office Support Professional

Position Reports to: Project Planning and Customer Service Manager

Department/Location: Maintenance Department - Fargo Jet Center, Fargo, ND

Primary Operational Objectives:

The successful candidate will have the opportunity to work closely with the entire maintenance team, providing support by writing reports, payroll assistance, expense reports, travel coordination, meeting, and event synchronization.

The Office Support Professional will be a proactive analytical person with exceptional communication skills, a positive mindset, determined work ethic and meticulous attention to detail. This person should have experience working in an office environment, performing administrative duties, and supporting a large team. Given the dynamic nature of the work environment, this person will need to be flexible and consistent. This position has the opportunity to have a wide variation in their duties in their day-to-day office environment.

Must have the ability to work independently, owning full life cycle of office processes, such as: invoicing, ordering of supplies, coordinating supplies, coordination of meeting requests, and department events to include catering.

• This position is M-F 8:00am-5:00pm on-site, and will have their own office

Essential Job Functions:

• Willing to assist and direct customers, guests, and inquiries via phone and e-mail correspondence.
• Communicate professionally and effectively with customers, members of management, and team members.
• Take accurate messages and distribute to the appropriate parties in a timely manner.
• Order and restock office supplies for the department.
• Schedule and coordinate meetings, to include coordinating technology, catering, and unforeseen requests.
• Collect payments, prepare invoicing, and appropriate follow-up. With the ability to review customer accounts and invoicing for accuracy.
• Coordinate travel to include transportation, airfare, rental cars, lodging, and conference registration.
• Maintain digital and physical filing systems.
• Prepare, send, and distribute mail.
• Verify customer and account data for accuracy and resolve any discrepancies in data.
• Perform other duties as assigned.
• Comply with all safety rules and regulations.

Qualifications:

• Self-motivated, ability to organize work, set priorities, meet deadlines, and provide proper follow-up.
• 5 year(s) of administrative experience required.
• Ability to work with confidential information.
• Ability to keep busy during slow times.
• Computer literacy and proficiency in MS Office products.
• Strong customer service background.
• Excellent verbal and written communication skills, ability to work with diverse communication styles.
• Strong multitasking and organizational skills.
• Maintain a positive and professional working relationship with peers, management, and support resources, with a constant commitment to teamwork and exemplary customer service.

Physical Demands:

• Prolonged periods of sitting/standing at a desk, and computer use.
• Occasional lifting up to 25 lbs.
