    Job Description

    Position Summary (In paragraph format, please provide a detailed overview of the position) Provide program information to students, faculty, staff, and community regarding Career Services. Assist customers with Student Affairs issues and direct individuals to appropriate staff members. Answer telephone, greet in-person visitors, log students into Coyote Q system. Schedule appointments for the Director and receive, open, date stamp, distribute office mail, and disseminate work to appropriate staff. Ability to log students into Typefocus assessment. Process vouchers and receipts received from Senior Specialists. Work with vendors to locate and get copies of missing vouchers, receipts, and invoices. Collect vouchers, receipts and maintain records of all transactions. Monitor expenditures for State, Grant Account, and Donation Account. Process payments of books, tuitions, uniform, equipment, tools, Nursing mastery evaluation test, transportation, and other student support services for Carl D. Perkins grant account, gift account, to include verification of approved items, appropriate billing, recording of transaction into Student Funding Data Base' and completion of internal paperwork. Provide the Director with weekly detailed departmental expenditure reports. Maintain files for all departmental expenditures. Verify the Department expenditure spreadsheet with Nevada System of Higher Education (NSHE) Budget Accounts in Data Warehouse. Track the renewal date and complete the required paperwork for the renewal of software. Administrator for Resourcemate Software program, CTEAP (Career and Technical Education Assistance Program) Scoring Data Base, and Student Funding Data Base for CTEAP (Career and Technical Education Assistance Program) Scoring Data Base, and the Student Funding Data Base for Career Services department. Responsible for the processing of the PO for Gas Cards and 24-hour bus passes for the CTEAP Program. Work with the Coordinator and the Director to set up training dates for staff on policies and procedures for the Textbook Assistance Program (TAP). Assist Director with Special Events and projects for the department, including preparing detailed college reports, assisting with events including Job Fairs, Workshops, Orientations, and other Student Affairs events as requested, must maintain consistent and reliable attendance. Supervision of subordinate staff.

    Required Qualifications
    • Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience.

    Grade 27: Step 1 -$36,790.56

    Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
