    Reporting to the Director of Academic Advising, the Administrative Assistant 1 in Academic Advising Services is a team member committed to student success. The AA1 manages the office, appointment making, and several databases. Work with the Banner Student Information System, OnBase, and other campus systems is a daily part of this position. The AA1 is not an academic advisor, but the department will help the successful candidate understand the role of advising at the university; in turn, the AA1 will work routinely to help train support staff who work in academic departments on advising matters.

    The Academic Advising Office seeks qualified candidates for an Administrative Assistant 1. This is a full-time, Administrative Assistant 1, 12-month, contingent permanent, SG11, CSEA represented position with an entry level salary of $44,957.

    KEY RESPONSIBILITIES:
    The successful candidate's responsibilities are to establish and implement department office procedures critical to student success, particularly related to Academic Advising Services. These include but are not limited to maintaining efficient work flow; resolve day-to-day operational problems; respond to phone calls; sort paper and electronic mail; organize, expedite and follow up on projects; and coordinate information flow by acting as liaison among current or prospective students, faculty, staff, and others. Duties include, but are not limited to the following:

    Provide excellent customer service to students, faculty, and staff who call, email, or stop by the office looking for assistance with academic advising or success resources
    Supervise work study students
    Process student payroll
    Compose, review, edit, screen, respond, evaluate, and prioritize correspondence and reports
    Assist in creating and maintaining website pages
    Coordinate and maintain Academic Advising staff calendar, contacts, and shared tasks using Google calendar
    Prepare Academic Advising folders and materials for incoming students
    Reconcile and maintain P-Card, Travel and NETcard records and track departmental accounts
    Preparation of Check Request forms
    Track balances of the office's fiscal accounts
    Provide administrative support with the planning, scheduling, and coordination of departmental events.
    Maintain inventory and requisition of office supplies, equipment, furniture, and professional memberships;
    Provide clerical support to the Honors Program, the Learning Center, ACE Program and the CDO as needed
    Use of various digital tools
    Be aware of, understand, and follow all university policies.

    Job Requirements:
    Appointments and promotions in the New York State Civil Service are made according to principles of "merit and fitness" as mandated by the New York State Constitution.

    Reassignment Requirement : You must have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, SG-11, or Secretary 1.
    Reinstatement Requirement : You must be a former state employee to request reinstatement to the title that was held (or transferable title).
    Administrative Assistant Trainee 1 Transfer Eligibility Requirement : You must have a current permanent appointment with a minimum of 1 year of service in a position of the same title or transferable title (SG-6 or above).
    Administrative Assistant Trainee 2 Transfer Eligibility Requirement : You must either have successfully completed the 52 weeks of service as an Administrative Assistant Trainee 1 or one year of services in a clerical title (SG-8 or above) AND successfully completed the four core administrative support courses.
    A dministrative Assistant 1 Transfer Eligibility Requirement: You must have either one year of service in a clerical title (SG-9 or above) or completion of a two-year traineeship AND successfully completed both the four core administrative support courses and the four elective administrative support courses, as designated by the agency.
    Keyboarding requirement: Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.

    All applicants must meet at least one of the above requirements.

    This is a full-time, Administrative Assistant 1/Trainee, 12-month, probationary/permanent, CSEA represented position.

    Salary Range listed encompasses the hiring rate of an Administrative Assistant Trainee 1 (NS08) through the job rate of an Administrative Assistant 1 (Grade 11).

    Administrative Assistant Trainee 1 (NS = Grade 8): $38,073

    Administrative Assistant Trainee 2 (NS = Grade 10): $42,493

    Administrative Assistant 1 (Grade 11): $44,957
