    Job Description

    The Management Assistant performs a variety of administrative duties that enables management or administrators to function more effectively; or primary focus is on administering a program; performs related work.

    The successful candidate will be a critical member of the Enrollment Management leadership team and responsible for maintaining complex and confidential administrative and operational functions. The primary focus of the role is to conduct the administrative and management needs of the Associate Vice President for Enrollment Management, ensuring seamless scheduling, meeting preparation, project follow-ups, travel arrangements, and other administrative activities. The position requires considerable judgment and discretion, initiative, independence, and the ability to interact frequently with university administration, state and local officials, and senior-level university officials and their constituents.

    Key Responsibilities

    ● Manage a high-volume of scheduling needs for the Associate Vice President, including evaluating time commitments and prioritizing meetings.
    ● Work closely with the AVP to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
    ● Balance internal and external demands effectively.
    ● Proactively compile meeting agendas and materials.
    ● Prepare executive summaries, compile comprehensive briefings, talking points, project reports, and all other briefing materials for a high-paced meeting schedule.
    ● Research to prepare documents, presentations, and other materials to support the needs of the division.
    ● Act as Contract Master for the Division.
    ● Maintain the Enrollment Management and HYLS portions of the ISU website.
    ● Oversee travel authorizations and expense reimbursements.
    ● Coordinate complex office, meeting, project, and event logistics.
    ● Manage records, files, and reports- physical and digital copies.
    ● Monitor the budget for the two indices assigned to Enrollment Management.
    ● Provide data in a timely and accessible manner.
    ● Personnel Actions (For ALL Enrollment Management Departments)
    ● Support the administrative needs of Enrollment Management, New Student Orientation, and Scholarships.
    ● Invest in building long-lasting relationships both internally and externally.
    ● Provide general office support, answer enrollment-related questions, and oversee temporary and/or student employees within the office.
    ● Field concerns brought to Student Affairs executives and/or refer callers to individuals or departments based on in-depth knowledge of university policies and procedures.
    ● Work closely with area leadership to research a wide variety of issues and work with units to trouble-shoot/resolve issues.
    ● Complete a variety of special projects including presentations, financial reports, enrollment comparison reports, etc.
    ● Other duties as assigned.

    Minimum Qualifications

    Experience:

    • Interpreting and applying regulations or policies and procedures.
    • Planning, organizing, implementing, and evaluating special projects.
    • Independently researching, compiling, developing and summarizing material for reports on a frequent or recurring basis.
    • Analyzing information, identifying problems, defining alternatives and developing recommendations for management/administrators.

    Additional Information

    ISU minimum for this classification is $19.69 per hour.
