Client Concierge / Operations Associate
Position Summary

As the first and last person clients see when they are in the office and the first person to answer the phone, our Client Concierge and Operations Associate is instrumental in making sure clients have a positive experience.
As the Client Concierge and Operations Associate, you will use skills obtained through training and experience to provide a wide variety of administrative and support services to our clients and staff. You will play an important role in setting the tone for the firm and strengthening client relationships because you will be the first person clients reach when they call and visit the firm. Your duties as Client Concierge will require you to make sure clients feel comfortable and maintain the appearance of the office. As Operations Associate, you will be supervised by the Director of Operations and responsible for managing the office calendar, handling incoming securities, updating our client database, and assisting the operations team with various other tasks.

Primary Job Duties and Responsibilities
· Maintain the highest level of personal integrity and put client needs first
· Prepare the office for opening/closing each day
· Maintain the appearance of the office and cleanliness of the reception area and conference rooms
· Greet clients and vendors in a personable and professional manner upon their arrival in the office
· Assume primary responsibility for answering incoming telephone calls, assisting clients when possible and referring them to other associates as appropriate
· Serve as a liaison between clients/vendors and the Kooman & Associates team, identifying apparent needs and communicating them to the appropriate team member
· Manage the office calendar, including scheduling and coordination of meetings and events
· Manage the travel schedule of financial advisors, with strong attention to detail
· Assist the marketing team with client event communications and planning
· Purchase all office supplies and materials
· Coordinate services required by the office, such as utilities, HVAC, locksmith, etc.
· Establish, maintain and update client records in CRM and other systems
· Operate standard office equipment and use required software applications
· Sort, screen and distribute mail
· Receive and process securities and client deposits
· Assist the operations team with paperwork and other tasks under the supervision of the Director of Operations
Knowledge/Requirements
· Bachelor’s degree strongly preferred
· 3-5 years administrative experience
· Proficiency in Microsoft Office, including Outlook
· Comfort with technology and ability to learn and utilize multiple software systems
· High level of integrity and ability to maintain client and firm confidentiality
· Ability to maintain a professional image
