Loan Client Service Associate

  • Position Description: As a Loan Client Service Associate, you will provide exceptional customer service to our commercial and consumer loan clients by performing a variety of duties which include processing loan payments, payoffs, advances, entering new loans and renewals, escrow processing and general loan maintenance onto our core system. As a Loan Client Services Associate you will also assist with monitoring emails and phone calls from our internal teams as well as external clients on loan related questions and requests. Training will be provided.

    This is a full-time position; Monday through Friday. Wages start at $18-20 per hour based on experience. Employee benefits include 401K, health, dental and vision insurance and paid time off.

    Job Responsibilities:
    Communication
    Receives requests as part of a group email; notifies group of starting a task so that the team knows they can work on other requests
    Can clearly and objectively communicate via email with internal and external clients; is aware of the subjectivity of written communication and works to anticipate questions, obstacles, or misinterpretation of information, while also following organizational guidelines for email standards
    Works with manager to identify opportunities for improvement, methods to increase knowledge sharing or efficiencies, and discuss the best way to communicate this information to team
    Able to speak with others in a way that conveys department needs, but does not condescend or mitigate the needs of others; is respectful and professional in tone and demeanor, even when communicating errors for correction
    Give and seek feedback from team and be receptive to internalizing suggestions and making corrections based upon information received

    Time and Priority Management
    Ensure that payments are posted for Consumer Loans and Commercial Loans either through the Vertex System or the core system within the same business day they are received. Input daily transactions through Cross-Applications in the core system.
    Ensure that all Commercial and Consumer loans as well as any modifications are input into the core system within the same business day they are received.
    Monitor Escrow reports to ensure taxes and insurance premiums are paid in a timely manner to avoid any penalties or cancellations. Monitor various reports and maintain spreadsheets as required.
    Complete maintenance forms and perform general loan maintenance on the core, within 24-48 hours of receipt.
    Can balance the drive to find information with completing the workflow
    Can quickly and efficiently shift between tasks to address work needs as they arise
    Effectively manages difficulties and delays to both stay on task and complete tasks on time. Strives to improve prioritization
    Possess problem solving and research capabilities; if a file is incomplete, can use resources and available materials to find the details and take appropriate action to resolve
    Takes personal responsibility of time and work quality; does not allow self to become distracted by personal emails, calls, or non-work related conversations at the expense of work duties. Sets daily work goals and accomplishes them by end of day, or as time allows.
    Works independently to complete tasks, but also maintains awareness of team workload. Asks for assistance or offers to help others as needed and available

    Planning and Organization
    Monitors daily reports for accuracy and completion. If discrepancies are found, works to find the cause and takes appropriate action to resolve
    File paper and digital files in appropriate location on a daily basis, following confidentiality requirements
    Reconciles monthly reports with invoices before sending bill to accounts payable
    Able to see the bigger picture; does not just complete daily tasks, but takes steps to try and get ahead in order to avoid stress related to the unpredictable nature of the process. Prepares and plans for the things that can be controlled and completed in order to smoothly handle the items outside of personal control
    Reach out to applicable clients or team members, including third party vendors, to address questions, issues, delays, etc. and to ensure that loans are entered into the system in a timely manner. Uses communication method (phone and/or email) that would get results in most timely manner, depending upon situation.

    Work independently to complete tasks, using resources, knowledge, and experience to guide decisions; keep manager informed on decisions and ask for guidance on larger or complicated decisions and issues
    Identify discrepancies and/or missing information, determine how they occurred, and work with manager to develop a corrective plan of action to produce the result needed and reduce or prevent errors in the future
    Ensures that the workflow timeline is not interrupted, even when files are missing information or have changes. Capable of taking something that is out of personal control (late files) and performing tasks quickly, efficiently, and accurately to put the file back on schedule to meet or exceed the set deadline.
    Able to make decisions on your own while working as a team

    Assumes responsibility for related duties as required or assigned

    Knowledge, Skills and Abilities:
    High School Graduate or GED required; Associates or undergraduate degree preferred
    Curiosity and problem-solving skills
    Previous experience in a business environment and knowledge of computers and office equipment
    Uses available resources (materials, internet, etc.) to look for a solution; willing to ask team members or managers for assistance after reviewing resources
    Exceptional written communication, articulation and interpersonal skills
    Can operate standard office equipment: desktop computer; keyboard; mouse; document scanner; and printer
    Efficient at moving between multiple software programs and internet pages to maintain workflow
    Must have working knowledge and experience in programs such as Microsoft Word and Excel
    Excellent analytical, problem-solving and decision-making skills
    Dependability, adaptability, drive and initiative are essential

    Physical Requirements:
    Ability to stand for long periods of time
    Able to view a computer screen for long periods of time
    Must be able to speak and listen clearly both in person and on the phone
    Fine visual acuity to read for accuracy
    This job may require lifting up to 50 pounds occasionally, 10 pounds frequently
