Job Description
The Client Services Coordinator will be the primary point of contact for clients seeking support, managing all incoming communications, and ensuring smooth coordination of services. This role involves answering support calls, creating service tickets, scheduling appointments, and providing administrative support to the Client Services team. The Client Services Coordinator will also greet and assist incoming clients, ensuring they are directed to the appropriate team members.
Essential Duties and Responsibilities:
- Answer Incoming Support Calls: Serve as the first point of contact for all client support inquiries, answering calls promptly and professionally.
- Create Service Tickets: Document client issues by creating service tickets, ensuring all necessary details are captured accurately.
- Schedule and Transfer Calls: Based on the nature and severity of the issue, schedule service appointments or transfer calls to the appropriate Client Services Specialist.
- Maintain Schedules: Ensure that all service schedules are up-to-date and maintained, adjusting as necessary to accommodate new requests or changes.
- Reschedule Appointments: Contact clients to reschedule appointments when necessary, ensuring minimal disruption to their services.
- Greet Incoming Customers: Welcome and assist clients who visit the office, ensuring they are promptly directed to the appropriate team member.
- Transfer Calls and Take Messages: Handle any other incoming calls by transferring them to the relevant team members or taking detailed messages as needed.
Minimum Requirements:
- Education: High school diploma or equivalent; additional education or training in customer service or administration is a plus.
- Experience:
- Minimum of 1-2 years of experience in a customer service or administrative role.
- Experience in a client-facing role within a service-oriented industry is preferred.
- Skills:
- Excellent communication and interpersonal skills, with a strong focus on customer service.
- Proficient in using phone systems and basic office software (e.g., Microsoft Office Suite).
- Strong organizational skills with the ability to multitask and manage time effectively.
- Attention to detail and accuracy in documenting client information and managing schedules.
- Other Requirements:
- Ability to work in a fast-paced environment and handle multiple client interactions simultaneously.
- A friendly and professional demeanor with a client-focused approach.
