Position Summary
The Client Services Administrative Assistant performs administrative tasks necessary for the continuing of care coordination, however does not directly participate in care coordination. This position is responsible for completing daily tasks assigned by managers, keeping ongoing assignments updated, and recognizing the need for further assistance in the Client Services Program.
Essential Functions and Responsibilities
Maintain up-to-date HIV knowledge
Manage client files
Maintain up-to-date and accurate client records, including CAREWare
Calling clients to remind them of upcoming dates to remember
Assisting in creating and editing program forms and documents
Participate in required training pertaining to case management
Participate and take notes in necessary meetings
Assist Client Services Management team with all necessary reports and meeting scheduling
Participate in agency teams
Managing closed and archive files
Comply with all applicable standards, guidelines, laws & administrative rules
Other duties as defined by Director and Ryan White Principles and Standard
Required Qualifications
Minimum 1 year of administrative work or related experience
Team player who is self-motivated, high-energy, and enthusiastic.
Ability to work in busy and dynamic environment.
Ability to schedule for several staff members, both on site and off site.
Ability to communicate effectively verbally and written with client, staff and partners.
Ability to work with diverse populations.
Excellent problem solving and organizational skills.
Excellent writing skills.
Experience with chart notes and file maintenance.
Experience with data entry and data quality.
Computer skills, including Access, Excel and Word.
Good follow through and task management skills.
TB test (provided at agency).
Flexible hours required, including some evenings and weekends.
Ability to pass agency criminal background check.
Valid Oregon Driver’s license, driving record sufficient to be covered by agency auto insurance policy, ability to transport self to job-related events, meetings, and locations.

While performing the duties of this job, the employee is required
· Repetitive use of hands such as grasping, twisting/turning of wrists, and finger dexterity necessary to perform various clerical duties, such as typing and writing.
· Frequent use of arms such as pushing and pulling to open and close drawers and cabinets
· Ability to sit or stand for extended periods of time at an assigned station
· Ability to bend, stand, and reach to be able to transport clients and to occasionally lift and carry up to 25 pounds (harm reduction kits, naloxone kits, testing and education materials)
· Continuous clarity of vision at 20 inches or less for processing of paperwork
