    The responsibility of this key position is to help our office run efficiently and smoothly all the while staying forward-thinking. The administrative & compliance duties include keeping track of all transaction documents (dotloop & drive), maintaining a client database (CRM), monitoring and notifying clients of important deadlines (calendars & task manager), complying with legal procedures (compliance of docs), and planning appointments and final walkthroughs. The advertising aspect is key to utilizing social media platforms, Google, YouTube, e-mail marketing, and event planning. Other duties include but are not limited to office duties, running errands, and other duties.

    The ideal candidate should be a great communicator who is a self-starter, highly detail-oriented, and collaboratively striving to improve daily.

    Compensation:

    $17 - $22 hourly

    Responsibilities:
    • Supervise production of all online marketing materials as well as brochures and flyers for events to professionally represent the real estate team
    • Continue to build skills and knowledge in the real estate industry by attending educational events
    • Fill out all appropriate paperwork and file in the customer database to assist the real estate team in closing deals
    • Schedule necessary appointments with all parties, including open houses and the final walkthrough
    • Achieve company objectives and regularly compile a progress report to present to the team

    • Routine administrative duties including email management, answering the main office phone line, and organization of files and office supplies
    • Create and manage all systems for sellers, buyers
    • Coordinate the purchasing of any office equipment, marketing materials, and any other business-related supplies and materials
    • Create and update a business operations manual and all job descriptions/employment contracts for any future hires
    • Run all aspects of seller and buyers' transactions from listing to contract to closing
    • Check listing, pending, and closed files for compliance and communicate with agents regarding items needed to complete the file
    • Help create and maintain SOPs (systems of operation)
    • Create all buyer and seller packages
    • Manage and update the office website, blog posts, and online listings
    • Weekly email marketing through Constant Contact
    • Plan all client-related events
    • Regularly request client testimonials for websites, social media, and other marketing materials
    • Running office errands (mileage reimbursed)
    • Assist the Broker with various office and sales-related tasks
    • Other duties

    Qualifications:

    Requirements:

    • Marketing | advertising experience with social media platforms (FB | Insta | LinkedIn | Youtube) as well as Google
    • Knowledge and | or previous experience of website and CRM management
    • 2 years experience in admin (this is not a sales position)
    • Mac and iPad apps (specifically in MS Office (or Office 365) and | or Google Workspace with marketing/advertising apps experience)
    • Must have reliable transportation, auto insurance and be willing and able to run errands
    • Totally social media savvy
    • Communicates well verbally and in writing
    • Possesses a strong work ethic
    • A high school diploma or equivalent is required.

    Pluses:

    • Experience in transaction coordination from list date through pending status to the closing of the property
    • Experience in compliance with listing, pending & closing paperwork
    • Experience in social media marketing, email marketing, CRM maintenance, and website updating
    • Extreme attention to detail and high level of organizational skills
    • Ability to create schedules and stay on task
