Position Title: Community Relations Specialist

Status: Non-Exempt, Full-Time
Salary: $27.00-$30.00 DOE

EMPLOYEE OWNER POSITION PURPOSE:
The Community Relations Specialist (CRS) provides general office and administrative support to the Motorcoach Country Club. The CRS is responsible for creating meaningful relationships with homeowners and community partners while facilitating programs that include social, cultural, recreational, and educational engagement events. This role fosters a collaborative, team atmosphere with staff, volunteers, residents, and the Board of Directors. Being a self-starter, highly organized, and committed to the highest levels of customer service are key for the CRS.
JOB DUTIES AND RESPONSIBILITIES:
- Provide office support for community programs including, but not limited to: answering calls, responding to general information inquiries, authoring correspondence, scheduling appointments, directing voicemails/other messages, and file/record maintenance
- Assist in maintaining current membership database to provide accurate membership reports as requested
- Maintain community website to ensure accuracy of information posted; coordinate with Jonas Software and IT department as necessary regarding web postings
- Administer Constant Contact and Dwelling Live postings as requested
- Compose, track, and mail correspondence for warning and violation notices, using approved templates
- Assist in administering golf cart insurance and registration program
- Create work orders for homeowners; coordinate with Maintenance and Grounds departments as needed
- Issue transponder tags to homeowners, renters, and vendors
- Compile program summaries and social activities for publication in community calendars, newsletters, flyers, and other documents for internal and external needs, including the Royal Page and the Weekly Herald; sell advertising for newsletter publications
- Maintain and develop procedures to ensure acknowledgement, recordkeeping, and follow-up on all program funding
- Plan advertising and promotional communication projects, including print, electronic, special events, and direct mail
- Serve as liaison with outside consultants, copy writers, and advertising agencies
- Manage event calendar and take event reservations
- Organize setup of Masters Lounge for events, committee meetings, and Board meetings
- In addition to Country Club administrative duties, assist with HOA administrative functions on an as-needed basis
- Other duties and special projects as assigned
QUALIFICATIONS:
- High School Diploma (or equivalent); Associate’s or Bachelor’s degree preferred
- Solid knowledge of Microsoft Outlook, Excel, Word, PowerPoint, and Desktop Publishing
- Previous experience with website maintenance preferred
- Brand marketing experience required
- Proficiency in administrative and event support with generally between 1-4 years of experience
- Conflict resolution skills
- Ability to meet deadlines and address time-sensitive issues
- Superior multi-tasking skills paired with data gathering, organizing, and auditing aptitude
- Ability to work effectively under pressure with frequent interruptions
- Excellent written and verbal communication skills
- Ability to provide high-level customer service with astute attention to detail and organization
- Must be a team player
- Ability to manage workflow amid shifting priorities
- Willing to learn Company processes and procedures, and learn/use proprietary software
- Adaptable and dependable with a solid attendance record
- Professional and respectful demeanor with all homeowners, staff, vendors, external parties, and guests at all times
- Bilingual (Spanish) is a plus
SPECIAL POSITION REQUIREMENTS:
- Must have and maintain a valid driver’s license, vehicle insurance, and driving record in compliance with Company policy
ESSENTIAL FUNCTIONS:
- Use standard office equipment, including: computer, phone, copier/scanner, fax, etc.
- Be stationary for periods of time
- Relocate up to (25) pounds
- Travel to and from offsite meetings

SCHEDULE & TRAVEL:
- In Season: Monday through Friday 8:00am-5:00pm with occasional Saturday shift based on business need. Summer: Monday through Friday 8:00 am-4:30pm
- This position may require occasional long hours to meet business needs
