Virginia Crossings Hotel and Conference Center has an excellent opportunity for a Conference Services Coordinator. This is a customer-oriented position for both internal and external customers of the catering and conference services field. This position will primarily assist in coordinating meetings and events from initial client inquiry through booking, planning, and obtaining pertinent information relative to events. This is a part time position, 20 hours per week.
Essential Job Functions
Receive, review and log contracts
Create client event files
Make initial contact with client and create group resumes and send out introduction letters
Assist with developing and modifying banquet event orders
Order amenities for VIP clients
Provide administrative support to meeting planners
Review banquet checks for accuracy
Act as meeting concierge, directing guests
Answer incoming conference services calls
Coordinate all in-house meetings
Respond to social meeting and third party booking site reviews
Various other duties as assigned by manager
Qualifications
Minimum Requirements and Qualifications
Education: High School diploma or equivalent required
Customer services experience is required
Hotel sales or conference services experience is preferred
Knowledge and skills :
Reading, writing and oral proficiency
Must have mathematical skills, computer software aptitude and some hotel operation knowledge
Knowledge of specific hospitality industry applications is desirable (Delphi)
Must have ability to relate to all levels of management
Must have the ability to handle multiple tasks at one time
Must have superior organizational skills
Technical Skills
Proficiency in Microsoft Word and Excel is required
Additional ability to learn new programs
