Construction Representative Assistant jobs in Tacoma, WA

We are a General Contracting Construction company looking for an Administrative assistant to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication. Duties and responsibilities include answering phone calls, scheduling meetings and appointments, managing client management systems (ClickUp, DocuSign, Google Drive) ordering office supplies, and providing direct support to the management team. Must be able to prioritize and communicate effectively. They will be self-motivated, extremely detailed oriented and have a basic understanding of the construction industry. The ideal candidate will be extremely proficient with computer programs mentioned above, and have the ability to adapt to new processes and systems put into place.

Responsibilities

• Responsible for general office support and assistance to management team
• Answers incoming calls and returns messages promptly and professionally
• Manage multiple schedules between internal team and clients
• Maintain client database and project pipelines
• Correspondence to/from vendors
• Assist finance manager with bill pay
• Maintain office supplies and marketing materials

Skills

• Proven experience as an office administrator, office assistant or relevant role
• Outstanding communication and interpersonal abilities, with no fear to speak up
• Excellent organizational and leadership skills
• Excellent time management skills and ability to multi-task and prioritize work
• Familiarity with office procedures and basic accounting principles
• Proficiency in MS Office and other systems (MS Word, Excel, Google, Docusign and more)
• Experience in a Construction Background a plus
• Attention to detail and problem-solving skills
• Marketing and creative ideas

Job Types: Full-time, Part-time

Pay: $18.00 - $22.00 per hour

Expected hours: No less than 25 per week
