Multi-family Property Maintenance Supervisor needed for work at an apartment complex in Portsmouth. Candidate must have a valid driver's license and personal vehicle.
A. Function
1. To maintain curb appeal for the property at all times.
2. To assist the Property Manager in enforcing all company maintenance policies.
3. Must have formal training or experience in the following areas:
a. HVAC
b. Electrical
c. Plumbing
d. Carpentry / sheetrock repair / refinishing
e. Painting / wall touch up / ceiling repair
f. Floor covering installation / repair
g. Kitchen & bathroom vinyl floor installation
h. Apartment, common hallways, and property grounds cleaning
B. General Responsibilities
1. Responsible for all maintenance, cleaning on the property, and grounds work.
2. Supervise all maintenance and cleaning staff, and schedule work thereof. Consult Property Manager as needed.
3. Coordinate all purchases of maintenance supplies with Property Manager.
4. Coordinate and make recommendations to the Property Manager for all maintenance and cleaning requirements, contract painting, grounds pick up, and curb appeal.
5. Coordinate and take responsibility for all in-house training.
6. Responsible for the organization and control of the maintenance shop and shop-related supplies and tools, including maintaining an inventory of all items.
7. Coordinate and participate in the after hours emergency on-call schedule for evenings, weekend, and holiday emergency repairs.
8. Consistently keep a Maintenance Technician trained and apprised in the Maintenance Supervisor's area of responsibilities. This will allow advancement from within in case of an opening at another property or in the Maintenance Supervisor's absence.
9. Recommend modifications of budget needs, personnel needs, and maintenance plans to the Property Manager.
10. Ensure general safety conditions for the property and maintenance shop.
C. Daily Responsibilities
1. Review all work orders and assign these orders to staff.
2. Report incomplete work orders (within reason) to the Property Manager at the end of the working day.
3. Follow up on all incomplete work orders. Communicate with residents on all unfinished work.
4. Monitor supplies for weekly order to replenish stock in maintenance shop. Prepare an on-going list of needed supplies for weekly ordering.
5. Complete self-assigned tasks and frequently check on progress of staff.
D. Weekly Responsibilities
1. Review "Make Ready Log" with Property Manager to coordinate required maintenance of vacant units.
2. Prepare a recap of all outstanding work orders and submit to the Property Manager.
3. Review preventive maintenance plans, grounds maintenance plans, and manpower requirements for the coming week with the Property Manager.
4. Review manpower requirements for the coming week with the Property Manager.
5. Place supply orders to replenish maintenance shop stock.
E. Monthly Responsibilities
1. Schedule on-going preventive maintenance (i.e., smoke alarms, property lights not working, curb appeal, property hazards, etc.); prepare the Preventive Maintenance Reports and submit them to the Property Manager.
2. Review preventive maintenance plans for the coming month with the Property Manager.
3. Review manpower requirements for the upcoming month and recommend all personnel changes to the Property Manager.
4. Order any major appliances needed for the property through the Property Manager.
5. Recommend any changes needed in contract vendors to the Property Manager.
F. Quarterly Responsibilities
1. Conduct preventive maintenance inspections of all apartments:
a. Check for and repair any leaks.
b. Change all air filters.
c. Check the condition of evaporators and return air flow (i.e., furniture in front of grills).
d. Check all smoke alarms and complete the Smoke Detector Log.
e. Report any housekeeping issues or damages to the Property Manager.
f. Document all appliance serial numbers and model numbers on the Quarterly Inspection Log - kept in on-site office.
G. Annual Responsibilities
1. Plan and prepare a 12-month Preventive Maintenance Report for the property in compliance with Meredith Management company policies and procedures.
2. Work with the Property Manager to compile an annual list of capital improvements.
3. Review the budget with the Property Manager to ensure guidelines are met.
H. Reporting
The Property Manager is the Maintenance Supervisor's direct supervisor.
I. Overseeing Staff
1. The Maintenance Supervisor is responsible for overseeing the following employees:
a. Maintenance technicians
b. Maintenance floaters
c. All vendors contracted to perform work related to maintenance, cleaning, and the grounds.
