The Opportunity- Purchasing and Contracts Coordinator
As a Purchasing and Contracts Coordinator at Willstrong, you will play a crucial role in managing the procurement and contract processes for trade partners and suppliers. The Purchasing and Contracts Coordinator is responsible for sourcing, qualifying, and negotiating contracts, pricing, and terms with trade partners. Reporting to the appropriate supervisor, you will contribute to the efficient and professional operation of the company through meticulous coordination and communication.
Key Responsibilities as Purchasing and Contracts Coordinator
1. Trade Partner Management
· Source and qualify new trade partners to meet current and future project needs.
· Negotiate contracts, pricing, and terms with trade partners and suppliers.
2. Contract Administration
· Review and send out trade partner agreements, including schedule of values and payment terms.
· Research and resolve trade partner disputes and assist in creating trade partner policies and procedures.
3. Documentation and Communication
· Maintain and distribute scopes of work for trade partners.
· Set up new trade partners, including all required insurances, and track compliance.
4. Specification Support
· Assist with construction specifications as required.
5. Financial Coordination
· Communicate with the project accountant to assist with pay applications and resolve trade partner payment disputes or back charges.
6. Field Support
· Assist the field with questions related to trade partner agreements, including scopes of work.
7. Strategic Planning
· Understand current and future purchasing needs to ensure proactive preparation.
8. Project Coordination
· Assist with the coordination of new projects and set up within internal systems.
9. Confidentiality
· Maintain complete confidentiality with all pricing, estimates, and trade partner information.
10. Change Events and Project Closeout
· Review change events and change orders as needed.
· Assist with project closeout processes.
11. Customer Service
· Provide excellent customer service levels to clients and team members, both internal and external.
12. National Accounts Management
· Assist with creating National Accounts with suppliers.
13. Special Projects
· Undertake other duties and special projects as needed.
Key Qualifications for the Purchasing and Contracts Coordinator
· Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
· Proven experience in purchasing, contract negotiation, and coordination.
· Strong communication and negotiation skills.
· Knowledge of construction industry practices and terminology.
· Familiarity with relevant software and systems.
