Corporate Ethics Helpline Administrator administers the corporate-wide anonymous reporting systems ("helpline"), allowing all stakeholders to disclose violations of the corporation's ethical standards, laws, or policies without fear of retaliation, as required by Sarbanes Oxley. Manages the flow of "helpline" inquiries to completion, and ensures that all allegations of unethical or illegal activity is referred to the appropriate resources within the ethics and compliance function. Being a Corporate Ethics Helpline Administrator serves as the internal database coordinator for ethics and compliance tracking information systems. Monitors progress of investigation and documents and maintains accurate records of issues handled. Additionally, Corporate Ethics Helpline Administrator prepares and maintains reports and statistical analysis of "helpline" activity. May require a bachelor's degree in area of specialty. Typically reports to a manager or head of a unit/department. To be a Corporate Ethics Helpline Administrator typically requires 2 to 4 years of related experience.     DEPARTMENT OVERVIEW

    POSITION SUMMARY

    Uses skills as a seasoned, experienced professional with a full understanding of industry practices and organizational policies and procedures; resolves a wide range of issues in imaginative as well as practical ways. Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Contacts are both internal and external to the department. The CAAP Corporate Card Administrator reports to the manager of the BRC CAAP Team. The position is responsible for coordinated management of the Corporate Credit Card Program including but not limited to the CTS Air Cards, Travel & Entertainment/Event Cards, the Purchasing Cards - and related business for the smooth delivery of travel and corporate procurement activities of the Bank. Incumbent independently performs comprehensive professional duties for the Corporate Card program and is the central UCOP point of contact with University of California bank card provider. Stays current with banking regulations and protocols and ensures compliance with UC and campus policy requirements to minimize risk and maximize accountability and control. Evaluates and addresses card use issues and risks to the card program. Experienced professional who knows how to apply theory and put it into practice with in-depth understanding of the professional field; independently performs the full range of responsibilities within the function; possesses broad job knowledge; analyzes problems / issues of diverse scope and determines solutions. Normally receives little instruction on day-to-day work, with general instructions provided on new or unique assignments. Interacts with internal contacts, cardholders, and the credit card service provider on matters of some significance as they relate to management of the corporate card program.This position is hybrid, California only.

    Key Responsibilities
    • 45% Develop objectives for the program, assess impact, define and oversee program, and ensure that they reach the determined goal. Prepare reports and analyses to include summaries of financial transactions, evaluation of current and proposed services, etc. for management review and decision-making. Conduct analyses, identify trends, forecast changes, and make recommendations to management. Conduct or assist with researching, developing and implementing new and changing business processes. Decide on what card program is the appropriate tool based on the situation and program guidelines. For situations that require another option, evaluate possibilities and recommend solutions. Assess and recommend changes to maintain compliance with federal and state requirements and internal financial / audit policies. Generate original concepts for streamlining existing processes while enhancing accountability and control. Review, process, and approve standard financial data and transactions. Effectively address difficult and complex customer inquiries. Manage reports for card account actions and balances. Participate in audits of internal records and processes and prepare recommendations for changes as needed. Ensure that the appropriate internal controls are addressed, maintained and strengthened to protect University resources. Provide professional support for all aspects of Card Programs management. Document processes and procedures for financial activities associated with the Card Program. Work with other BRC teams to ensure that financial processing functions as they relate corporate card transactions are performed with accuracy and that daily operations run smoothly. Instruct cardholders and department clients on action required to resolve outstanding charges to individually issued cards and to UCOP corporate accounts. Monitor the delivery of quality customer service to various constituencies to include internal department clients and external vendors. Responsible for card issuance, change, and cancellation for individual cardholders. Function as a resource to support staff on issues such as researching financial discrepancies, escalated customer service problems and vendor concerns. Research and analyze use of cards, and remedy past due accounts. Evaluate potential risks to the card program and take actions to mitigate risk. Research and gather information from a variety of sources prepare and summarize information and reports relative to new services, regulatory compliance issues and / or vendor selection and support activities.
    • 25% Central point of contact with the issuing bank, cardholders, and UCOP departments. Respond to inquiries regarding travel card use and policy. Independently investigate and resolve problems and questions associated with account activity. Proactively collaborate with department clients to address card use and management. Make presentations to department clients and provide training on card use and policy. Secure and maintain confidentiality of personal and private information.
    • 20% Research, analyze, and resolve past due airline charges billed to UCOP corporate accounts and past due cardholder accounts to ensure prompt payment. Analyze and determine discrepancies in account balances, determine source, and recommend strategies to resolve. Generate and evaluate cardholder and program account reports. Monitor policy exceptions and report non-compliant cardholders.
    • 10% Apply professional financial and accounting concepts to independently perform analyses of complex financial services such as researching discrepancies and tax implications and compliance with external regulations and internal policies. Use specialized banking industry software to add, delete, and update accounts. Review official notifications of card issuance, cancellation, and change. Manage reports for card account actions and balances.

    Experience
    Required Qualifications
    • Min 4 years Excellent working knowledge in at least one of the following areas: general accounting, financial services, travel and entertainment reimbursement rules and regulations, and/or auditing of procedures or transactions. Corporate card program administration experience a plus. Proficiency in a PC-operating environment and with MS Office suite, as well as standard desktop/web-based applications and databases. Experience with Concur, Oracle, or similar expense management software preferred. Experience with specialized banking industry software a plus. Willingness to learn new software applications and technologies. Experience with program implementation and/or process improvements. Demonstrated knowledge or ability to quickly acquire knowledge of various business systems and account structure, expenditures, and relevant policies and procedures. Demonstrated ability to identify key factors, patterns, trends and issues; interpret policies; analyze and summarize possible implications of multiple options; and make logical recommendations. Excellent research, analytical and problem-solving skills to gather, synthesize and integrate essential information from multiple sources (e.g., policy, financial reports and statistical data). Meticulous attention to detail. Demonstrated professional knowledge and skills to anticipate and manage risks; experience designing, implementing and evaluating the effectiveness of internal controls Communication skills that demonstrate fluent English language competency and ability to articulate moderate to complex ideas and issues clearly, concisely, effectively and logically. Demonstrated ability to compose business correspondence using appropriate format, language and grammar. Active listening skills to clarify and verify essential points.     • Bachelor's degree in related area and / or equivalent experience / training
    • Bachelor's degree in Accounting, Finance or related area and at least four years of progressively responsible professional experience performing similar functions related to customer support, payment processing, accounting or banking services or an equivalent combination of education and experience.

    SALARY AND BENEFITS

    Salary

    The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs.

    Pay Scale and budgeted salary range for this position is: $93,000.00 - $107,500.00. Salary offers are determined based on final candidate qualifications and experience.

    Job Grade: 22 or link to UCPATH Career Track Salary Grade / UCOP Career Track Salary Grade (It is not typical for an individual to be offered a salary at or near the top of the range for a position.)
