GENERAL DESCRIPTION
The Rental Coordinator serves as the primary point of contact for birthday party, large rentals and behind the scenes guests and organizes and manages their experience. Position involves providing excellent customer service, responding to guest inquiries, managing the calendar and schedules. This job description is intended as a guide to the general job responsibilities and is not inclusive of every duty the employee is expected to perform.
Large Rentals
· Coordinate private parties and large group rentals at the Mandari and 30’s Club shelter (and other relevant zoo venues if applicable)
· Responsible for all communications with renters, completion of rental contracts, scheduling and maintaining rental calendar
· Clear communication with Grounds Team ensure flawless set-up and clean-up
· Works closely with Events Coordinator to ensure scheduling to eliminate calendar confusion
· Ensure check-in, final payment and check-out, and ensuring overall customer satisfaction.
· Establishes table layout for each event, includes set up and tear down with the assistance of buildings and grounds staff
Birthday Parties
· Schedule, organize and implement party offerings - including all communications with renters, completion of rental policies, scheduling and maintaining rental calendar.
· Responsible for all the necessary amenities for the hosted birthday parties - supply management (decorations, gift bag items), ordering food & cake, preparing gift bags, decorating venue, and assigning a host or performing host duties for the party.
· Willing to learn animal training and handling of ambassador animals to perform presentations.
Behind the Scenes
· Schedule Behind the Scenes Encounters.
· Coordinate with Animal Care staff on scheduling.
Other
· Ensure customer evaluation and follow up is completed for all rentals
· Perform impeccable customer service ensuring high quality of guest experience
· Works with the Associate Director of Guest Services to evaluate rentals an suggest improvements
· Works with Events Coordinator to assist as needed for event planning and set up
· Performs laundry of linens used for table covers for all rentals and some events
· Other duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES
Ability to work independently, to keep accurate records, to communicate accurate information both verbally and in writing, to maintain well-organized files, and to exercise good judgment. Must be flexible and able to work well as a team member with other staff in all departments.
ENVIRONMENT AND PHYSICAL REQUIREMENTS:
This position requires that the incumbent can hold, lift, carry, or push items as necessary, up to 50 pounds. This position requires access to Zoo grounds, as well as periods of time sitting in an office. This position requires multitasking and focus with a lot of background noise. Must have the ability to listen and respond to radio needs as required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
QUALIFICATIONS
Minimum of high school diploma with one year experience in customer and guest relations. Experience with Microsoft and Google Suite preferred. Ability to learn Doubleknot Pont of Sale System. Valid Driver’s License required because the position requires the use of a personal car to purchase supplies, applicant must be insurable by Zoo’s underwriter, and provides proof of personal auto liability insurance.
