Job Description Summary:
The Database Coordinator provides critical support to the Development Systems team by maintaining, and ensuring the accuracy and integrity of constituent data in the central constituent database; as well as supporting data querying and reporting efforts. This position reports to the Director of Development Systems & Gift Management.

Development Systems Support:
In coordination with Assistant Director of Development Systems and the Director of Development Systems & Gift Management, support the maintenance of constituent data in Development Department Database by carrying out constituent record updates and changes in the database. Create new constituent records. Perform weekly, monthly, quarterly and annual database clean-up efforts.
Assist the Development Systems team with regular database clean-up efforts and work with Development staff to maintain accurate constituent records. Collaborate with the staff to clean up inconsistencies and errors, as well as data maintenance solutions.
Ensure that all data entry work adheres to Development Systems' policies and processes. Ensure that all data entry work is accurate and timely, and that deadlines are successfully met.
Gain in-depth knowledge of plug-ins, importing and executing global changes in the Development Database. Demonstrate knowledge by running plug-ins and global changes.
Responsible for processing all alumni portal requests and alumni portal updates.
In coordination with Assistant Director of Development Systems and the Director of Development Systems & Gift Management, support development and maintenance of database procedures and training materials.
In coordination with the Assistant Director Development Systems and the Director of Development Systems & Gift Management, support the regular generation and mailing of monthly pledge reminders.
In coordination with Director of Development Systems & Gift Management, support the training of Development staff and campus partners on development database as well as other software and applications.
Serve as a "power user" of the Development Database, and demonstrate expert knowledge of the system via the creation of queries, exports and reports.
Prepare reports, lists, labels, spreadsheets, mail-merge files, etc. for Development staff and other areas on campus as needed. Translate written or verbal communication from the requester to appropriate and accurate selection criteria.
Aid and support the Development Systems team in moving to a self-service environment, including establishing dashboards and reports.
Collaborate with the Development Systems team to capture and track metrics to facilitate team benchmarking and measurement efforts.
Configure, and accurately run import data using ImportOmatic.
Serve as a Development specialist on event registration management, and address issues and questions related to event registration processing.
Ensure that all event management policies and procedures are followed effectively. Identify ways to influence and drive improvements to efficiency, processes and procedures and make recommendations accordingly.
When needed assist with gift processing operations including, but not limited to, cash, check and credit card payments when needed. Including batch processing net community gift and online donations when needed.
Assist with database training for Development and campus users.
Assist with implementing global data changes and imports, as well as batch uploads, exports; and updates of data. Execute requests for ad hoc import profile creation for integration requests.
Aid and support the Development Systems team in moving to a self-service environment, including establishing dashboards and reports.
Strategic Development Operations Support:
Order supplies for the AVP of Strategic Development Operations, as well as the Development Systems team as needed.
Manage administrative activities such as invoices and purchases for the AVP of Strategic Development Operations, as well as the Development Systems team as needed. Maintain subscriptions as needed.
Other Responsibilities:
Completes performance review process with supervisor to understand job performance expectations and how they fit into the department and university goals Adhere to the ethical and confidentiality guidelines of the Development Office and CASE. Maintain a high degree of confidentiality and responsibility regarding information related to University business and confidential constituent data.
Contributes to the creation of a diverse, equitable and inclusive work culture that encourages and celebrates differences.
Participate in office and division staff meetings.
Perform other duties as assigned.
Education/Skill Requirements:
Bachelor's degree required. One year of relevant experience may be substituted for each year of required education.
Experience with database management using Raiser's Edge or comparable fundraising software a plus. Demonstrated experience creating gift summary reports required. Proficiency in Microsoft Word, Outlook, Excel, and Access. Experience in a nonprofit or higher education setting preferred.
Responsible for own work. May assist or instruct others doing similar work, including student workers.
Tasks involve multiple procedures with interrelated processes and steps. Work involves choosing the appropriate option or procedure to follow and applying the established rules and procedures.
