Under the supervision of the Dean's Executive Assistant, this position will provide general administrative support for the Baskin Engineering Dean's Office, which includes the offices of the Dean and Assistant Dean.

Salary Information: Salary Range: $25.78 - $30.22/hour. Salary commensurate with skills, qualifications and experience.

JOB DUTIES
80% - General Administration
- Manage day-to-day, in-person logistical and administrative support including answering phones, emails and in-person inquiries as well as preparing routine correspondence.
- Work with the Executive Assistant to manage meeting schedules for the Dean and Assistant Dean. Serve as a back-up to the Executive Assistant.
- Function as the first point of contact, understanding the requirements of the Dean and Assistant Dean, in order to prioritize issues according to urgency and to allocate time for scheduled events, travel and meetings.
- Respond to inquiries from faculty, staff, students and the public regarding organization operations, policies and procedures. Refers complex questions/inquiries to the Executive Assistant.
- Ensure the Dean's Office is adequately prepared and supplied for meetings and daily operations.
- Communicates issues that are of a sensitive nature, internally and externally requiring discretion and diplomacy.
- Track and brief Dean, Assistant Dean and senior management staff on deadlines and the status of pending issues.
20% - Events Support
- Work closely with Baskin Engineering Events Coordinators, serve as back up for Dean's Office events including support for graduation ceremonies.
REQUIRED QUALIFICATIONS
- Related administrative experience.
- Interpersonal skills with the ability to work effectively with senior management staff, faculty, and students.
- Ability to maintain composure in stressful situations.
- Solid written communication skills.
- Solid verbal communication skills with the ability to actively listen.
- Organizational skills and the ability to prioritize competing tasks.
- Proficient computer skills with demonstrated experience using Google Docs and Microsoft Office.
- Ability to complete work independently.
- Ability to work as a member of a team.
PREFERRED QUALIFICATIONS
- Related experience in continuing education or higher education.
- Demonstrated ability in providing administrative support within a medium to large organization.
SPECIAL CONDITIONS OF EMPLOYMENT
- Selected candidate will be required to pass a pre-employment criminal history background check.
- Ability to maintain conduct and appearance suitable for working in a professional setting.
- Ability to work occasional evenings and weekends.
