    IMMEDIATE SUPERVISOR:

    Executive Director

    STATUS:

    Non-exempt, Part-time

    HOURS: 20-25 hrs. / week (Monday - Thursday, 8 am - early afternoon). Occasional evening / weekend events.

    RATE: $18 / hr.

    OVERVIEW: We are seeking a highly organized, dynamic and self-motivated professional to join our mission-driven team as Office Manager. As a key team player, you will be responsible for overseeing and coordinating all administrative activities to ensure the smooth and efficient operation of our community-based work environment. The ideal candidate will possess exceptional communication skills, superior proficiency in Excel and other Microsoft or Google Suite tools, strong multitasking abilities, embrace the nimble nature of non-profit work, and have a keen eye for detail. This is a fantastic opportunity for an individual looking to contribute their skills and expertise to the success of a mission-driven organization and neighbor-centric team. This position also provides support to The Center's programs, including its Choice Food Pantry.

    RESPONSIBILITIES:

    • Administrative Support: Provide comprehensive administrative support to the team, including scheduling meetings, managing calendars, and recording of staff meeting minutes.
    • Office Operations: Oversee daily office operations, including maintaining office supplies, equipment, and facilities, ensuring a clean and organized workspace.
    • Communication: Serve as a primary point of contact for internal and external reception via phone calls and in-office visitors. Responsible for phone system, answering inquiries, and directing correspondence to the appropriate parties.
    • Records Management: Maintain and organize accurate records, files, ensuring confidentiality and easy retrieval of information.
    • Responsible for mail processing.
    • Event Coordination and Support: Assist in planning and coordinating organization’s events, meetings, including logistics, catering, and other necessary arrangements.
    • Vendor Management: Establish and maintain relationships with office vendors, ensuring timely deliveries and resolving any issues that may arise.
    • Program Support: Support client in-take, processing orders for the BSCSC Food Pantry, and other programs, as needed.
    • Continuous Improvement: Identify opportunities to streamline office processes, suggesting and implementing innovative solutions to enhance efficiency and productivity.

    REQUIREMENTS:

    • Mission-driven, neighbor-focused.
    • Proven experience in office management or similar administrative role.
    • Strong proficiency in Google Suite and/or MS Office.
    • Excellent organizational and time management skills.
    • Exceptional communication and interpersonal skills.
    • Ability to adapt to changing workflow in a fast-paced work environment.
    • A positive attitude, friendly demeanor, exceptional customer service, and a passion for helping others through a mission-driven organization.
