  • The Museum of Fine Arts, Boston (MFA) seeks a full-time Administrative Associate to provide high-level administrative support to the Director of Development and four fundraising staff including: two Leadership Gift Officers, a Planned Giving Officer and the Director of Foundation/Government Relations. 

    The Associate will create and update solicitation roadmaps, manage data in the donor database, and compile reports, event lists, and budget activity. Additional responsibilities include coordinating team meetings, drafting simple correspondence, supporting mailings, electronic filing, and other related administrative duties as requested.

    ESSENTIAL FUNCTIONS:

    • Provide operational support involving an extensive array of technical and confidential matters involving donors, potential donors, and key volunteer museum leadership.
    • Manage solicitation roadmaps and prospect portfolios by entering and extracting information to and from the fundraising database, Tessitura.
    • Prepare reports as needed for development and related activity areas.
    • Draft correspondence.
    • Coordinate event invitation lists for exhibition openings, lecture receptions, development dinners, and other special events.
    • Schedule team meetings and coordinate agendas.
    • Support the team’s work with Curatorial and other departments throughout the Museum.
    • Attend events to greet and guide guests.
    • Track team budget expenditures.
    • Perform other duties as required.

     

    REQUIREMENTS:

    • Bachelors Degree required
    • Three to five years of office experience, general knowledge of non-profit fundraising preferred
    • Strong organizational skills and attention to detail
    • Good writing skills
    • Strong interpersonal skills
    • Ability to handle sensitive and confidential information
    • Ability to multi-task, prioritize assignments, and work in a fast-paced environment
    • Proven ability to work both independently and as a team player
    • Experience supporting more than one individual desirable
    • Solid working knowledge of PC-based Microsoft Word, Excel, and PowerPoint are required; high level of comfort with database systems and an ability to extract data for the purpose of management reporting


    Salary Range:

    Full-Time Salary, 35 hours per week

    Starting salary: $48,000 - $50,000
