    Lakeland Hills Family YMCA is in Mountain Lakes, New Jersey, and services 11 communities in Morris County, a suburb of New York City. The Y is dedicated to nourishing the mind, body and spirit through youth development, healthy living, and social responsibility for all. Our Y proudly serves 9,500 members with an annual operating budget of $7 million dollars. The Y is currently searching for the next mission driven individual to play a vital role in our fund development department and support the organization’s fundraising into the next generation.

     

    POSITION SUMMARY:

    Under the supervision of the Vice President of Fund Development, the Development Associate functions as a member of the Development team to manage and support the fund-raising program that includes special events, the Annual Campaign, donor acknowledgements and stewardship activities of the Y. The incumbent is the principal support staff in ensuring the success of the organization’s fundraising events and Annual Campaign activities in addition to donor and Board engagement, cultivation, and stewardship events.

     

    As such, the incumbent will be an active user of the E-Tapestry donor database to manage donor data and generate database reports and analyses to inform the Department’s annual and seasonal planning. The Incumbent works to cultivate meaningful relationships with members, donors, volunteers, community organizations and Board members.

     

    The incumbent will be primarily responsible for assuring completion of timely, accurate donor gift acknowledgement letters and providing support to monthly Board meetings. He/she understands the overall mission of the Y and functions as an integral fundraising professional, exercising confidentiality, discretion, collaboration and teamwork.

     

     

    ESSENTIAL FUNCTIONS:

    • Special Events Management
    • Under the direction of the Vice President of Fund Development, coordinates logistics, planning and scheduling of all Annual Campaign-related activities, including arranging Campaign meetings and activities.
    • Under the direction of the Vice President of Fund Development, generates regular Campaign progress reports for each segment of the campaign: staff, Board and community appeals and special major gifts outreach.
    • Supports the management of annual fundraising and other major events including but not limited to managing committee meetings and members, participating in securing and tracking sponsorships, managing food/beverage selection, interface with venues, soliciting and securing sponsors, gifts-in-kind, and auction items, registering attendees, etc.
    • Serves as main point of contact at all events for all volunteers, coordinating schedules and making reassignments as needed.
    • Supports the management of sponsors and mission- advancement signage needed working with the Marketing team to ensure sponsors are properly recognized.
    • Under the Vice President of Fund Development’s supervision and guidance, develops and cultivates relationships with existing and new donors, participants, volunteers, and sponsors.
    • Manages Development Stewardship Events.
    • Supports donor and prospect cultivation gatherings/events with invitations, guest list development/management, RSVPs, and other duties.
    • Ensures that all relevant event-related donor and sponsor information is recorded and updated accurately in the database to assure optimal reporting, communications, coordination and cultivation of members, donors, and volunteers.

     

    Board and Committee Support

    • Prepares reports and supporting data for upcoming board conversations.
    • Tracks board members fundraising engagement on a quarterly and annual basis.
    • Supports the work of the CEO to manage Board and Committee member requests and updates and deliver necessary requests such as Board and Committee thank you and recognition gifts.
    • Takes the lead required to provide administrative and technology support to the CEO at Committee meetings as needed.

     

     

    Blackbaud Database Support

    • Serves as an expert of knowledge and functionality in managing the database.
    • Manages acknowledgement letter process, generating accurate, thoughtful gift acknowledgement letters from database and ensuring that letters are prepared for mailing on a regular and timely basis.
    • Supports work of Annual Campaign and year-end appeal with generating letters, reports and tracking documents as needed for staff, volunteers, and Board members.
    • Maintains daily operation of the database to assure timely, accurate recording of relevant information and updates.
    • Develops expertise in generating scheduled and ad-hoc donor reports and queries as needed to support the development of Campaign plans and strategies.
    • Provides giving history and other donor-related data requested to Vice President of Fund Developments as needed.
    • Research donor prospects to create donor profiles as needed for committee meetings and campaign prospecting opportunities.

     

     

     

    Development Team and Organization Wide Support

    • Will liaison with the Finance Department to reconcile donor gifts and grants.
    • Understanding and knowledge of foundational research and grant proposals.
    • Develops and strengthens relationships between our Y and community organizations through meaningful collaborations and partnership opportunities.
    • Represents the Y and Development Team at Community Events and promotes the Y as a cause driven organization that addresses the needs of our community.
    • Maintains quality working relationships with members, staff, program participants, community members, donors and Board members.
    • Participates as appropriate in professional development opportunities and trainings such as the NJ Financial Development Network and NAYDO.
    • Tells the story and takes initiative to seek out relationships and opportunities to help create a culture of philanthropy within our Y.

    Qualifications


    QUALIFICATIONS:

    • Bachelor’s degree required.
    • 2-4 years' experience planning, managing, and organizing events, including working with volunteers and community partners.
    • Knowledge of the YMCA’s role in the community as a human services organization. Previous non-profit experience is a plus.
    • Ability to work appropriately and effectively with staff and professionals at all levels, including the Y Board of Vice President of Fund Developments, major gift donors and corporate partners. Maturity, sound judgment, diplomacy and discretion required.
    • Ability to work effectively in teams and to also manage competing demands, sometimes on tight timelines. Ability to prioritize competing demands. Flexibility and adaptability required.
    • Strong communication and interpersonal skills.
    • Proficient in Microsoft Word, Excel, and Power Point; familiar with internet navigation and research. Experience with donor CRMs.
    • Model relationship-building and teamwork skills in all interactions.

     

    WORKING CONDITIONS:

    • Ability to work in with irregular work hours including evenings and weekends.
    • Ability to walk, stand, and sit (including on the floor) for long periods of time while maintaining alertness for several hours at a time. May also require bending, kneeling, leaning.
    • Potential exposure to communicable diseases and bodily fluids is possible. Able to administer first aid.
    • Must be able to lift and carry up to 50 pounds.
    • Ability to speak concisely and effectively communicate.
    • Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency.
