The groups coordinator is a position of high importance in our private groups department. The position is designed to utilize the individuals existing skills as knowledge to grow within our expanding leisure groups department.
We will provide the training to develop the skills that make a successful leisure groups coordinator with additional growth opportunities as the department and markets expand.
This individual will need to be detail oriented, meticulous, and organized.
The leisure group year has multiple seasons in which the responsibilities shift as follows:
Contracting - Contracting and negotiations regarding services for the upcoming year, and quotation creation for services.
Booking/Quotation - booking/confirming services, creating group quotations.
Operations - Confirming/operating services - during this season the groups coordinator will need to be available to communicate with guides for operational needs. Reconciliation of accounts for completed groups.
Responsibilities:
- Serve as a coordinator to the Leisure Groups director, providing administrative support and managing the group schedules
- Coordinate and schedule itineraries, services, and travel arrangements for the executive team
- Manage and maintain office supplies and equipment inventory
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail
- Assist with general office and standard itinerary duties in the office such as bookings, rooming lists, ticketing, as needed. (this will be a minimal, just support during busy season)
- Perform file management tasks, including organizing and maintaining both physical and electronic files
- Utilize Google Suite to create documents, spreadsheets, and presentations
- Answer phone calls using proper phone etiquette and direct calls to the appropriate individuals
- Conduct data entry tasks accurately and efficiently
- Type documents, reports, and other materials as required
- Assist with event planning and coordination for company meetings or special events
Qualifications:
- Previous experience as a personal assistant or in an administrative role is preferred
- Proficiency in using Google/MS Suite (Docs, Sheets, Slides) or similar productivity tools
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Knowledge of phone systems and proper phone etiquette
- Attention to detail and accuracy in performing data entry tasks
- Ability to type quickly and accurately
- Experience in event planning or coordination is desirable
- Sales experience a plus
- Experience in the tourism/cruise industry is a plus
