  • SUMMARY
    The Payroll Coordinator is responsible for assisting in the processing of multiple payrolls (both on a weekly and biweekly basis). Ensure accurate time records are submitted, payrolls are then processed through implementation of checks and balances in conjunction with our corporate policies and both federal and state regulations as well as human resources policies and procedures. The payroll coordinator is a backup to the Payroll Manager.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

    • Data entry and review of employee demographics, status changes, shift changes, etc.
    • Maintains payroll information by collecting, calculating, and entering data following processes to ensure accuracy.
    • Assisting Payroll Manager to ensure a timely and accurate process for each payroll by reviewing timesheet records submitted by department supervisors making corrections/changes as required.
    • Process time data records in compliance with payroll policies and procedures and in compliance with federal, state wage and hour regulations.
    • Work with managers to ensure PTO is approved and in timesheets.
    • Review and verify with applicable HR Business Partners any special check requests or adjustments in accordance with payroll policies.
    • Coordinate and verify with HR any employee information, benefits, or changes in status, to ensure correct and consistent interpretation of human resource policies and procedures and accurate processing of payroll.
    • When responding to questions, provide guidance and interpretation of corporate finance and payroll policies and procedures on all local, federal, and state wage and hour regulations, in addition to all timecards and paychecks.
    • Support HR in educating department heads and employees on proper payroll processes and payroll system applications.
    • Understand how data flows and is processed through the Payroll / HRIS system as well as interfaces and reporting requirements.
    • Assist in the development and maintenance of payroll system setup and continued automation.
    • Coordinate with HR on payroll processing of Disability, FMLA, Workers’ Compensation and other leave of absences.
    • Process salary adjustments, calculate retro pay, review payroll discrepancies.
    • Assist in maintaining disbursement records for deductions and create disbursement requests for various Federal, State, and other agencies (e.g. garnishments, credit unions, etc.).
    • Assist with and/or respond to basic incoming mail from outside agencies and institutions, such as garnishments, state tax documents, employment verifications etc.
    • Assists with all payroll reporting and maintenance (refer to payroll check list), prepare and provide reports to finance and management at pay period end or following completion of payroll.
    • Research and resolve incorrect paychecks and handle all stop payment procedures and voids along with any additional supplemental runs.
    • Aid employees and department heads in a timely, friendly and courteous manner.
    • Assist with internal and external auditing functions for payroll.
    • Support in preparation of month end reports to all locations in a timely manner.
    • Work directly with the payroll provider to resolve any issues or tax updates.
    • Ensure that all payroll policies and procedures stay up to date.
    • Calculate manual checks for HR so they can issue on location checks that need immediate attention.
    • Work with HR in conjunction with any employee transfers, especially when a transfer is from one pay frequency to another.
    • Responsible for assisting with any employee taxation situations.
    • Handle any outstanding checks/direct deposit notices from payroll provider.
    • Ensure an organized environment.
    • Assist the accounting team on any discrepancies related to processed payroll and reports.
    QUALIFICATIONS

    • Skill in applying math and accounting skills to complete fiscal salary charts, and perform basic mathematical computations.
    • Skill in organizing and executing multiple assignments under specific time constraints.
    • Ability to prepare and present a variety of payroll presentations and reports.
    • Ability to communicate effectively orally and in writing.
    • Ability to operate office equipment, computers, and related software.
    EDUCATION and/or EXPERIENCE
    Qualified candidate must have 2-4 years responsible experience in a payroll setting.
    • Strong organization and attention to detail skills
    • The ability to exercise sound judgment and discretion and uphold high standards of confidentiality
    • Experience working with payroll systems
    • HRIS and HR experience strongly preferred
    • Working knowledge of Human Resource management principles and practices.
    • Strong knowledge of administrative protocols and disciplines and experience working with a variety of departments and management levels
    • Current knowledge and solid understanding of best practices in the HR disciplines outlined above
    • Knowledge of federal and state employment laws
    • Strong written and verbal communication and presentation skills
    • High level of service-orientation and responsiveness is essential
    • Demonstrable leadership, decision making and problem-solving abilities
    • Must possess exceptional interpersonal skills
    • Proficiency with Word, Excel, PowerPoint and Outlook; experience with Dayforce payroll software highly desirable
