JOB DESCRIPTION
The St. John’s Ministries Community Engagement Team has an opening for an Event and Donor Relations Specialist. The number of people experiencing homelessness or housing instability has risen and we are looking for a person that is mission-driven to work under the supervision of the Director of Resource Development and Community Engagement to plan and facilitate events, and provide administrative support in all aspects of donor relations. This role is part of a supportive team that prioritizes each person’s wellbeing.

St. John’s Ministries’ mission is to honor the dignity, restore hope, and create lasting change for those experiencing homelessness or housing instability in the Green Bay community. We provide services across four locations. At our two seasonal emergency shelters of last resort, we provide adults experiencing homelessness with a safe place to sleep during the harsh winter months. At the Micah Center and Wellspring, our two daytime resource centers, we equip adults experiencing homelessness – as well as community members at-risk – with the tools to achieve self-sufficiency.

Objectives:
The Event and Donor Relations Specialist is responsible for leading or assisting with a variety of event and donor relations duties. Under the supervision of the Director of Resource Development and Community Engagement, and in collaboration with the Manager of Fund Development and Stewardship and the Volunteer Coordinator, the Event and Donor Relations Specialist will enthusiastically and accurately provide important event planning and execution, and administrative support for the Community Engagement Team.
Roles and Responsibilities:
Under the supervision of the Director of Resource Development and Community Engagement:
- Coordinate and oversee all details- small and large- for fundraising events, including the Annual Restoring Hope Gala, third-party fundraising events, catered dinners, and new opportunities
- Direct work of the Annual Restoring Hope Gala Committee and other planning groups to ensure fundraisers are successfully planned and executed to meet revenue goals
- Prepare, utilize, and update planning documents and schedules and ensure they are placed in the appropriate shared drives or folders
- Work closely with other members of the Community Engagement Team to solicit sponsorships for the Annual Restoring Hope Gala and maintain good relationships to secure future commitments
- Ensure event attendees, sponsors, and donors feel welcomed, special, and recognized
- Document results of all substantive contacts with prospective donors and event sponsors in Bloomerang CRM
- Collect donor data and create reports as needed
- Enter and track donations into Bloomerang CRM, and prepare weekly cash and check deposits
- Correct and update donor credit card information for failed electronic donations
- Administer Donor Recognition Program to ensure donor wishes are followed, thank you messages are sent, and tax reporting documents are mailed in a timely manner
- Maintain timely and effective responses to community requests to promote programs and activities, and arrange or provide tours to current or prospective donors
- Act as a representative of the organization, strengthening relationships with donors, community groups, and key stakeholders
- Collaborate with the Volunteer Coordinator to prepare staff and volunteers for fundraising events such as the Annual Restoring Hope Gala, community events such as the Homeless Persons’ Memorial Service, and staff events such as the annual seasonal staff picnic; provide leadership as needed
- Assist the Volunteer Coordinator with volunteer recognition and training
- Provide administrative support to all members of the Community Engagement Team
- Proofread, edit, and occasionally write Community Engagement Team documents like appeals, newsletters, and grants
- Assist in writing, editing, and posting approved content to social media platforms
- Assist in designing graphic communication that is visually appealing
- Travel to speak to church and faith group audiences on an occasional weekend or evening
- Maintain a presence at shelters and daytime resource centers as needed or requested
- Actively participate and help direct work groups and other team initiatives

Education and Experience:
- Associate’s degree in Hospitality Management, Marketing, Public Relations, Communication, Business Administration, or related field required
- Minimum of three years of event planning and coordination experience, preferably in a nonprofit or corporate workplace
- Minimum of two years of administrative support experience, preferably in a fundraising environment
Skills and Abilities:
- Comfort working with the following issues: mental health, substance abuse, trauma, low-income and/or homeless populations, and/or healthcare preferred
- Ability to act with integrity, professionalism, and confidentiality
- Demonstrated success stewarding, cultivating, and maintaining donor relationships
- Must have a passion for the mission and population served by St. John’s Ministries
- Excellent verbal and written communication skills
- Comfort approaching and presenting to new individuals and gaining support
- Critical thinking skills and data-driven approach
- Ability to arrange and support various community engagement strategies
- Demonstrated success planning, facilitating, and executing fundraisers or corporate events
- Excellent Computer Skills: experience with Wordpress websites, email marketing systems (Mailchimp), donor CRM systems (Bloomerang), Adobe Creative Suite, event management and online auction systems preferred
- Nights and weekends may need to be worked on occasion and when applicable
- Comfort with public speaking in a variety of professional and sometimes informal speaking engagements

Physical Demands
Physical demands associated with this position include extensive walking, lifting & carrying heavy weighted materials (up to 50 lbs.), bending, and lifting.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
