Travel Coordinator – Backup Receptionist

Responsibilities

• Corporate travel that will include Air Travel, Rental cars, Hotels, and establish travel itineraries for all employees and occasionally clients. Make client dinner/activity reservations upon request. Assist with Venues and Events for Expo's and Conference's.
• Assist in establishing/negotiating corporate rates with airlines, rental agencies, hotels...etc.
• Setup new employees under corporate rate codes
• Greet guests and/or employees at the front desk with a positive and inviting demeanor.
• Answer a multi-line phone, direct calls to appropriate parties and take messages for appropriate parties.
• Filter spam and junk calls as they come in.
• Scanning AP/AR Accounting Files.
• Renaming and organizing scanned files.
• Scan and print documents on behalf of the management team in preparation of meetings and/or project-based assignments.
• Write and edit documents such as reports or communication for management.
• Working directly with management on assigned project-based assignments such as back-office software or MS Office.
• Greet and provide refreshments/snacks to customers upon arrival to the facility.
• Advising all guests and customers about our COVID-19 protocols. Cleaning doors handles/pens and counters after guest come and go.
• Prepare the reception area for guest which includes; keeping front desk and lobby clean, organized and presentable for guest. Conference room setup with safety glasses, notebooks, pens, snacks, and refreshments prior to arrival.
• Stock the refreshment cooler and coffee area for guests.
• Assist in decorating the main entrance/lobby and common areas for seasons and holidays.
• Assist in company party’s and events.

Skills and Qualifications

• High School Diploma or equivalent (preferred)
• Strong organizational skills to efficiently and courteously assist customers
• Strong skills in active listening, motivation to help people, telecommunications, energetic work attitude, and a team player.
• Knowledge of Microsoft Word, Excel and Outlook
• Answer Multi-line phones system
• Have a driver’s license
• Dressing business casual
