    The Program Relationship Manager will support the achievement of Champions For Learning’s mission, strategy, and annual goals and objectives, by developing and implementing the annual community engagement work plan in support of the Student & Educator Programs plans. Primary responsibility will be for volunteer intake and processing, and mentor relations and support.

    Duties/Responsibilities:

    • Support the development and management of the annual work plan to engage volunteers with Champions For Learning.
    • Serve as first point of contact for incoming volunteer inquiries and interest and internally connect as appropriate.
    • Identify, organize, and support community outreach opportunities/experiences and assist with presentations such as tours, open houses, etc.
    • Lead All About Mentoring informational sessions to engage new individuals and make updates to the presentation as needed.
    • In conjunction with the marketing & communications staff, implement communication strategies to support the engagement, recruitment, and onboarding of student and educators program volunteers.
    • In conjunction with the Alumni/ Selection Process Coordinator, facilitate the mentor/mentee matching for the incoming 8th grade students.
    • Respond to mentor/mentee rematch needs by making a timely rematch to an eligible mentor, facilitating the virtual or in-person meet & greet between mentor and mentee (with support from the assigned College & Career Coordinator).
    • In conjunction with the Entrepreneurship Relationship Manager, continue to refine and implement a standard intake application and vetting process in line with the Collier County Public Schools’ screening requirements.
    • Work with Collier County Public Schools Volunteer Coordinator on appropriate screening and keep volunteers well informed of their status.
    • Ensure volunteer records management is timely and in accordance with organizational protocols.
    • Ensure mentor information is secure and confidential in databases as appropriate in support of the Take Stock in Children and Champions For Learning records management protocols.
    • Maintain accurate and timely records in STAR database.
    • In conjunction with Student Programs, monitor mentor hours and assist with state reporting requirements as needed.
    • Capture contact information in database and regularly run reports.
    • Serve as a liaison between student and educator programs to ensure volunteers are engaged in a timely manner, connected to activities that fulfill the needs of the annual plans (mentors, college & career coaches, student, and educator selection committees, etc.)
    • Participate in related student activities that are identified as opportunities with heavy volunteer engagement, i.e., networking mixers, career exploration, etc.
    • Assist with logistics pertaining to educator programs, i.e., classroom grant delivery day, Golden Apple site visit scheduling, etc.
    • Develop and maintain a strong knowledge of the student and educator programs, resources available, volunteer roles, and program needs to help volunteers find their fit.
    • Develop additional resources (handbooks, modules, orientations, etc.) as needed to better serve volunteers (emphasis on Take Stock in Children mentors).
    • In conjunction with the Entrepreneurship Relationship Manager, work directly with volunteers to understand their goals, interests, and strengths to effectively integrate volunteers.
    • Develop and implement regularly recurring cultivation and stewardship strategies to enrich the volunteer experience, i.e., Mentor Mondays, Coffee & Conversations, etc.
    • Develop and implement communications strategies to recruit and engage volunteers and constituent groups to contribute to the integration and support of the Champions For Learning organizational communications plan.
    • Develop, lead, and support the work of the Mentor Liaison Work Group in executing recruitment and retention priorities and maintaining an appropriate work group roster.
    • Support the work group’s identification of yearly priorities in the growth of the support strategies for Take Stock in Children mentors.
    • Respond to mentor concerns and respond appropriately with coordination to staff, community resources, or Mentor Liaisons as appropriate.
    • Contribute to development, cultivation, grant writing, and outcome reporting as appropriate through providing data and other outcome measurements necessary.
    • Collaborate with the Development team to ensure that volunteers are introduced to opportunities to support the organization with charitable gifts.
    • Engage Development team in volunteer cultivation and stewardship events.
    • Share information with the Chief Development Officer regarding the relationship a volunteer or a prospective volunteer has with the organization to ensure that the expectations of the both parties are met.

    Responsibilities as it relates to the Take Stock in Children grant:

    The Mentor Coordinator will:

    • Ensure that all mentors are matched with students in a timely manner and that sessions are conducted on school property for one hour each week.
    • Collect and report mentor sessions.
    • Ensure that potential mentors participate in a background check in a timely manner as required by state law.
    • Offer comprehensive mentor training that defines roles and responsibilities; clarifies Take Stock in Children mentoring guidelines and expectations; and provides tools and suggested activities.
    • Execute communication strategies to recruit volunteer mentors.
    • Communicate regularly with all mentors by phone, email, mailing, surveys, newsletters, flyers, etc.
    • Plan and execute mentor appreciation, recognition, retention, and training activities.
    • Collect, document and report data on key performance indicators, including student data, in the areas of mentor recruitment, participation, application processing, screening, training, matching, and session frequency, as well as college and career readiness.
    • Collaborate with Take Stock in Children College Success Coaches, school coordinators, and liaisons to develop successful mentor/mentee relationships.

    The Database Specialist will:

    • Ensure optimal use of the STAR database functionality to support Take Stock in Children’s programmatic goals.
    • Enter grant required data on students, mentors, and college success workshop attendance, GPA, school attendance, and other required programmatic data.
    • Determine the appropriate database application structures and report specifications.
    • Design, develop, and provide queries and reports from the STAR database to comply with grant requirements and program needs.
    • Provide database quality control by investigating and reporting inconsistencies.
    • Follow data entry, collection, and reporting procedures as part of a balanced scorecard and key performance indicator system.
    • Collaborate with staff to ensure that the STAR database provides required information and is used to its fullest capacity.
    • Work with schools to ensure that student data and academic indicators are successfully and accurately entered into the STAR database.

    Education and Experience:

    • Undergraduate degree required.

    • Must have the flexibility to work evenings and weekends as required by the position.
    • Must have the ability to travel to different sites.
    • Must be able to lift at least 25 lbs.
