POSITION GOAL
The primary responsibility of this role is to welcome guests to our office, fostering a warm and inviting atmosphere. This individual will play a crucial role in providing information about HACAP programs, assisting clients in the application process, and offering referrals to other organizations when necessary. Additionally, this role encompasses routine office tasks to ensure the efficient functioning of day-to-day operations.
SCHEDULE AND WAGE
Monday - Friday 8:00 am- 4:30 pm.
$17.71 per hour.
- This position is eligible for a $1200 retention incentive after successfully completing 180 days of employment.
ESSENTIAL DUTIES
- Extend a warm greeting to clients upon their arrival.
- Cultivate a comfortable and supportive environment for those seeking assistance.
- Clearly convey information about HACAP programs and services.
- Explain eligibility criteria, application processes, and necessary documentation.
- Guide clients through the application process for HACAP programs.
- Verify the accuracy and completeness of application forms.
- Identify additional needs of clients and refer them to pertinent community resources and partner organizations.
- Maintain an updated list of community resources and services.
- Professionally handle and direct incoming phone calls.
- Manage and promptly respond to emails, ensuring effective communication.
- Maintain accurate records of client interactions and provided services.
- Organize and compile client data for reporting purposes.
- Ensure proper filing and documentation of general office paperwork.
- Work collaboratively with other HACAP departments to facilitate seamless service delivery.
- Cultivate positive relationships with external organizations to enhance the effectiveness of referrals.

- Ensure that personal health information is protected during its collection, use, disclosure, storage, and destruction within HACAP as required by HIPAA.
EDUCATION and/or EXPERIENCE
Successful completion of one (1) year secretarial program
OR
High school diploma/GED
AND
One (1) year clerical experience
OR
An equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work
