We are looking for a highly motivated individual to coordinate Propel’s relationships and sales efforts across a wide variety of industry trade associations. This includes coordinating the participation of Propel’s Sales Executives at these associations’ trade shows, which is aimed at maximizing brand exposure to both existing and prospective clients. You will help conceptualize ideas for Propel’s participation in trade events and liaise with association leaders, Propel sales leaders, vendors, and clients.
The ideal candidate will be a detail-oriented and organized individual with the ability to coordinate and manage detailed logistics and deliverables/timelines across numerous relationships/events simultaneously. We are looking for a team player with a passion for relationship building, event planning, someone that has good marketing and communications skills, and who possesses excellent project management skills.
- Manage and track trade association memberships, including annual membership renewals and periodic sponsorships/events

Preparing, presenting, and managing budgets and negotiating contracts related to trade associations and related trade shows

Drive association trade show engagement by working closely with sales teams to establish tradeshow objectives and schedule

Assist with negotiations and coordination for contracts, arrange trade show registrations and hotel accommodations, order supplies, equipment and signage, and ensure appropriate décor to meet quality and brand expectations

Work with the marketing team on any tradeshow/conference ads and sponsorship recognition pieces. Ship promotional items to trade shows and internal events

Organize association sponsorship participation, including for trade show events. Serve as liaison with marketing vendors on sponsorship related matters to include directory ads, quarterly e-blasts, etc.

Arrange association golf tournament sponsorships and team registration or booth representation including preparing promotional items, signage, and décor

Partner with marketing team to Promote association membership and related tradeshow participation through channels such as social media

Manage and track client engagement including (but not limited to) client sponsorships and golf tournaments

Organize and arrange client sponsorship participation including sponsorship registration, filling event tables and golf tournament team registration and/or booth representation. As well as preparing any needed promotional items, signage and décor

Work with the marketing team on client sponsorship program ads

Propose new ideas to improve the event planning and implementation process

Coordinate planning meetings with various internal teams

Prepare check requests following company guidelines and documentation procedures

As necessary, assist with managing on-site execution and wrap up for larger events

Prepare event marketing materials

Help to document activities prior to and during the events for internal and external communications
- Bachelor's degree or 2 years of related experience

Proficient in the latest versions of Microsoft Outlook, Word, Excel, and PowerPoint

Foundational understanding of financial and budget management skills
