The Executive Administrative Assistant III handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Being an Executive Administrative Assistant III conducts research and information gathering on behalf of the executive and prepares summaries and reports. Manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Safety Management Systems is searching for a confident, detail-oriented Administrative Assistant to provide administrative support at the executive level to the President and Vice President of SMS. Duties include but are not limited to: preparing business correspondence and reports using Microsoft Office and Google Applications; coordinating travel with extensive itineraries; conducting research and compiling data to prepare presentations; answering and directing telephone calls; coordinating meetings with management, vendors and customers; maintaining corporate documentation such as minutes, and resolutions; and assisting with special projects.
Duties / Responsibilities:
Coordinates, directs, and oversees the office of the Division President
Coordinates and manages the daily schedule of the President and Vice President with internal and external parties to include management meetings, projects, and priorities
Maintains appointment/meeting schedule and calendar for division
Plans/organizes and implements events such as meetings, business luncheons, or dinners
Coordinates travel within company guidelines and manage extensive itineraries
Answers telephones, transcribes and disseminates messages and internal communications.
Arranges “call-back” times when needed
Communicates with senior and executive management, customers, vendors, and visitors in a highly-professional manner
Generates letters, memos, agendas, and other requested documents to include data for President discussions, meetings, and responses
Attends meetings as requested in order to record minutes
Files and retrieves requested documents and reports
Processes invoices and reviews credit card statements and expense reports
Assists with getting contracts signed timely
Coordinates company events/functions
Performs all other duties as assigned
Skills / Qualifications:
High School Diploma or equivalent with a minimum of 5 years of Administrative Assistant experience in a business setting; Executive Administrative Assistant experience preferred
Bachelor’s degree preferred
Ability to work independently in a fast paced environment
Ability to meet deadlines, manage, and prioritize multiple tasks
Ability to maintain strict confidentiality
Excellent communication skills to communicate effectively, in verbal or written forms, with employees, customers, or the general public
Proficient in the use of PC application such as Microsoft Office and Google Applications (ie. MS Word, MS Excel, GMail, Google Sheets, etc…)
Highly-reliable attendance record
