Position Summary
DemKota Ranch Beef is seeking a creative and detail-oriented Executive Administrative Assistant. The ideal candidate will have a strong understanding of executive-level needs to be able to manage multiple projects simultaneously.
Essential Duties and Responsibilities
Executive Assistant:

Executive administrative assistant for CEO and CFO
-
Synthesize data into spreadsheets and MS office products, specifically PowerPoint and Excel
-
Consolidate and build KPI reports from department managers for review cadences
-
Coordinate schedules and calendars, manage conference rooms, logistics and hospitality for senior staff and customer visits
-
Personal interface for visitors in corporate office and direct phone calls for corporate office
Marketing Assistant:
Social Media Assistance:

Create and curate day-to-day engaging content (video and static) for Facebook, Instagram, LinkedIn, and TikTok that are both professional and engaging

Utilize Loomly to schedule content for review by the Director of Marketing before posting.

Monitor social media channels, engage with the audience, share customer posts, and ensure timely responses to messages and inquiries.

Reporting Support:

Aid in generating reports on social media and digital marketing analytics, helping to extract insights and suggestions for improvements.

Website Oversight and Order Management:
-
Support in managing marketing fulfillment website by managing inventory tracking, order fulfillment, and promptly notifying the Marketing Director about inventory reordering needs.

Monitor and ship promotional/marketing material to customers and the sales team

Aid in price comparison for specific marketing materials, ensuring cost-effectiveness of specific marketing materials.

Efficiently process and ship orders to ensure customer and sales satisfaction.

Customer Interaction and HubSpot Assistance:
-
Assist in managing communication on social media platforms, addressing customer inquiries, and redirecting "contact us" communications from HubSpot to relevant departments or providing initial responses.

Content Creation Assistance:
-
Aid in creating visual content (graphics, videos) for social media, presentations, or marketing materials using design tools such as Adobe Creative Suite and/or Canva.

Event Coordination
- Provide assistance in planning and organizing marketing events and customer visits, assisting with logistics, and pre and post-event clean-up.

Collaboration and Research Support:

Collaborate with various teams like sales and leadership to ensure aligned marketing strategies.

Assist in conducting ongoing research on digital trends, industry trends, and consumer behavior to support marketing strategy refinement.
- Adaptability and Additional Tasks:

Perform other assigned duties and remain adaptable to make necessary edits to maintain brand and business standards while communicating effectively.
After-Hours Responsibilities:

Flexible Availability: Maintain adaptable working hours, addressing social media monitoring or urgent inquiries beyond standard business hours as needed.

Timely Response and Event Support: Ensure prompt responses, especially during critical marketing campaigns or high customer engagement periods, and be available for evening or weekend assistance, particularly during essential marketing events or time-sensitive campaigns, to ensure smooth execution.

Strong understanding of executive-level operations, communications, expectations, and confidentiality

Ability to self-motivate and work independently and as a member of a group with strong attention to detail

B.A. in Marketing, Communications, Graphic Design or a related field or adequate experience

10 years’ Exec Asst experience with 3-5 years of experience in one or more: Business administration, graphic design (print and digital), social media management, content creation, marketing, communication, and/or copywriting

Strong discretionary and judgment skills and mature decision-making style
-
Proficient in design software (e.g., Adobe Creative Suite) and video editing software (e.g., Adobe Premiere) or willingness to learn.

Social media management and experience creating, editing, and writing posts tailored for social media platforms, including TikTok, Instagram, Facebook, and LinkedIn.

Stay on the cutting edge of industry trends, new platforms, and best practices in the beef industry and the marketing world to grow our brand.
Physical Demands

Ability to see, sit, stand, hear, bend, walk, and talk for 8-10 hours per day

Ability to enter operations areas. Tolerate heat and cold.
