Executive Assistant provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Being an Executive Assistant manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the executive and prepares summaries and reports. Additionally, Executive Assistant develops positive and strategic relationships at all levels of the organization. Job Description
The Lomax Consulting Group is seeking an experienced Executive Assistant to assist the President with daily tasks and project/client matters. The individual will work closely with the President preparing communications and schedules, aid with general consulting services and administrative tasks. The firm is seeking a collaborative, innovative, tech-savvy individual with strong writing, organizational and computer skills, who can flex to emerging issues and changing priorities. Experience in the environmental field is a plus.
Duties: under the supervision and guidance of the President are as follows:
Communications and Scheduling
1. Maintain President’s schedules, calendar and time records, assist with coordinating staff activities/assignments for updates to company calendar.
2. Tracking of and assisting with responses to communications, including phone/voicemails, emails, proposals, correspondences, reports, deliverables, responding to inquiries, facilitating requests and communications with appropriate clients, colleagues, staff.
3. Assist President with production, implementation and tracking of business development, marketing initiatives and client, colleague, and community relations.
Consulting Services Support
1. Support execution of consulting tasks, such as, research of records, files and information resources; production and formatting of reports; applications and deliverables; preparation of correspondences and various communications to track assignments and project activities.
2. Aid in coordination and communications with staff, clients, colleagues, and support services to ensure effective daily operations.
3. Research regulatory agency laws, regulations and polices, NJ Register for property deeds, and project/application sites.
4. Maintain and update President’s project/task lists and working files, including scanning documents to maintain digital files and aid in the development of project proposals and contracts.
5. Assist staff with duties and functions on occasion for temporary coverage.
Administrative Support
1. Tracking data entry and time entry for the President.
2. Aid in tracking staff productivity and profitability.
3. Proofread staff members reports, and correspondence.
4. Aid in the obtaining and preparing regulatory and technical information for distribution to staff and clients.
5. Other related duties as assigned.
Physical
Must possess mobility to work in a professional office setting and to use standard office equipment, including a computer; physical stamina and ability to ascend/descend stairs; strength to lift and carry materials weighing up to 25 pounds; vision to read printed materials and a computer screen unassisted; accurate color perception for production of technical data, imagery and reports; hearing and speech to communicate in-person and over the telephone unassisted. Employee must be fully capable of identifying colors, shades and hues accurately for use in photo/map interpretation and soils identification. Employee must have and maintain accurate vision and hearing capabilities.
