Executive Assistant provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Being an Executive Assistant manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the executive and prepares summaries and reports. Additionally, Executive Assistant develops positive and strategic relationships at all levels of the organization. Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality. May be responsible for directing and deploying support staff or other resources. Typically requires a bachelor's degree. Typically reports to c-suite executive. The Executive Assistant work is generally independent and collaborative in nature. Contributes to moderately complex aspects of a project.     Position Summary:

    • This position reports to the COO/CNO.
    • Responsible for secretarial/clerical needs of the COO/CNO.
    • Demonstrates quality and effectiveness in work habits.
    • Remains flexible to changing systems.
    • Treats patients, families, visitors, peers and physicians with consideration and respect.
    • Works well under stress or with tight deadlines.
    • Communicates concerns appropriately using the established chain of command.

    District Responsibility:

    • Supports the District’s Mission, Vision and Values Statements.
    • Demonstrate Respect, Professionalism and Courtesy to all patients, visitors, other providers and coworkers, as delineated in the LVMC “Commitment to Care”.
    • Constantly use C-I-CARE principles when communicating with others.
    • Maintains all principles of confidentiality according to District policy and as required by State and Federal agencies.
    • Follows guidelines and practices identified in the Employee Handbook.
    • Participates in continuous quality improvement activities within the Admin/Med Staff offices.
    • Completes hospital-wide skills criteria annually.
    • Complies with annual PPD testing.
    • Maintains responsibility for own professional development.

    Position Duties/Responsibility:

    • Maintain Nursing and Operations policies and procedures manuals.
    • Anticipate the needs of COO/CNO and act accordingly.
    • Display exemplary customer service skills.
    • Contribute to the goal of maintaining cross-departmental harmony by being a team player and working with multiple departments.
      • Prepare letters, memos, reports, agendas and other material or drafts as directed.
      • Receptionist duties include answering inquiries or referring to proper department/authority.
      • Make appointments and maintain the COO/CNO and Activity calendars.
      • Open and distribute mail, memoranda, and reports.
      • Prepare and/or process forms, requisitions, and vouchers.
      • Make travel arrangements.
      • Oversees traveler staffing needs in all departments and works with the director of that department to have adequate staff.
      • Other duties assigned by the COO/CNO

    Essential Functions:

    • Advanced proficiency in Microsoft Excel, including the ability to create complex formulas, pivot tables, macros, and data visualization techniques.
    • Strong analytical and problem-solving skills, with the ability to interpret data and generate actionable insights.
    • Must have the ability to sit or stand for prolonged periods of time.
    • Must have the ability to interact verbally in a positive manner with co-workers and visitors.
    • Demonstrates the ability to function as a team member within the department.
    • Demonstrates the ability to have positive personal interactions with staff, patients, visitors and physicians.
    • Accepts appropriate supervision.

    Position Qualifications:

    • Education:     High school diploma required; associate degree preferred.
    • Experience:   Prefer two years of administrative secretarial experience.
    • Certifications: None
    • Skills/Ability: Experienced in Microsoft Word, Excel and Outlook, and database management; accurate note-taking at meetings; and understand and carry out oral and written directions/instructions. Correct use of spelling, grammar, and punctuation; filing systems and procedures.
