Summary:
The Executive Administrator will provide comprehensive administrator support to the executive team. The ideal candidate will be adept at handling a wide range of administrative tasks, while ensuring optional organizational effectiveness and efficiency. This position will perform various administrative and clerical task to support the office, including activities ranging from filing and answering the phone to performing accounting task.
Essential Functions:
- Manage executive calendars, schedule appointments, and coordinate meetings and travel arrangements.
- Conduct research, compile data, and prepare reports as needed to support executive decision-making.
- Assist with special projects and initiatives as assigned by executives.
- Performs competent bookkeeping tasks; processes invoices, daily deposits, and distributes monthly billings and statements.
- Greet visitors, answer phone calls, and respond to emails in a professional and courteous manner.
- Assist in the design and implementation of a record keeping and filing system for protection, retention, record disposal and retrieval to ensure systems and records are monitored, maintained and are current.
- Provides back-up customer service support, responds to customer inquiries, and de-escalate customer complaints.
- Performs various office functions such as daily ordering, inventory management, shipping and receiving, and office support vendor management.
- Manage office supplies inventory and place orders as needed to ensure adequate stock levels.
- Manage incoming and outgoing mail, including sorting, distributing, and preparing shipments.
- Maintain office filing systems and organize documents, records, and correspondence.
- Records minutes for staff meetings and provide action items reminders to responsible staff.
- Assist with administrative tasks such as data entry, scanning documents, and maintaining spreadsheets.
Minimum Qualifications and Education Requirements
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Accounting/Bookkeeping experience 2 - 3 years.
Required knowledge, skills & abilities
- Excellent communication and interpersonal skills, with a friendly and professional demeanor.
- Proactive attitude and ability to anticipate the needs of executives.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
- QuickBooks experience required.
- Attention to detail and accuracy in all aspects of work.
- Ability to work effectively both independently and as part of a team.
