    Job Summary: Work directly with US Eye’s Executive Team and be the face of our new Headquarters in Bradenton, FL!
    US Eye, is looking for a new Executive Assistant/Front Desk Manager to provide administrative support to the Executive Team and other senior leaders. You’ll also manage the front desk at our brand new headquarters office in the University Town Center area, just off I-75.
    Duties/Responsibilities:
    • Provides high-level administrative support and assistance to the Executive Team and/or assigned leadership staff.
    • Provides legal administrative support to the General Counsel & Chief Compliance Officer
    • Performs administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
    • Coordination of candidate interviews
    • Arranges travel and accommodations for executives.
    • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
    • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
    • Performs office tasks including maintaining records, ordering supplies.
    • Manages the front desk for the new US Eye Headquarters, including greeting guests and receiving deliveries.
    • Planning and onsite coordination of events at US Eye Headquarters
    • Coordination of quarterly Provider meetings and other events as needed.
    • Serve as a liaison to Facilities for US Eye Headquarters
    • Management of anniversary awards, retirement, birthday and other recognition programs
    • Community Outreach request processing and expense tracking.
    • Administration of annual employee and provider holiday gift program
    • Event Registration on behalf of executives or company groups
    • Provider administration (i.e. Time off approvals, Membership Renewals) as assigned.
    • Additional projects as assigned by Executive Team.

    Required Skills/Abilities:
    • Excellent verbal and written communication skills.
    • Excellent organizational skills and attention to detail.
    • Excellent time management skills with a proven ability to meet deadlines.
    • Ability to function well in a high-paced and at times stressful environment.
    • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
    • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
    • Education and Experience:
    • High school diploma required, Associate or Bachelor’s degree in Business Administration or related field preferred.
    • At least four years of prior experience in executive level administration required.

    Supervisory Responsibilities:
    The position has no supervisory responsibilities.

    Demonstrated ability to walk, stand, bend and stoop. While performing the duties of this job, the employee is frequently required to stand, sit, use hands to handle or feel objects, or control, reach with hands and arms and talk or hear. The employee is occasionally required to climb or balance, kneel and crouch.

    The employee may be required to lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.

    Position Type and Expected Hours:
    This is a full-time position. Days and hours are Monday through Friday 8:00 A.M. – 5:00 P.M. with occasional overtime.

    Travel:
    Occasional local travel may be required between offices.
