POSITION: Warranty Administrator

SUMMARY:
General Responsibilities:
The Warranty Administrator is responsible for supporting the HVAC Equipment Project Management Team by executing and developing processes. Additional responsibilities include coordinating with manufacturers and other BCS Departments to provide the best possible outcome.

Direction:
- Some supervision. Work is reviewed regularly.
MAJOR RESPONSIBILITIES:
70% Ensures proper execution of warranty.
- Researches the validity of warranty requests.
- Coordinates, files, and maintains warranty records.
- Executes warranties with service, parts, accounting and the manufacturer.
- Maintains proper job records and documentation for both internal and external use.
- Consistently communicates status with the Project Management Team and other BCS Departments.
- Maintains records for warranty including durations, submissions, costs and reimbursements.
10% Supports the HVAC Equipment Project Management Team.
- Coordinating with vendors on weekly equipment shipment status and notifying the team of any changes to ensure adequate materials, labor and other resources are available as needed.
- Responds to any conflicts or missing documentation/information and promptly pursues clarification and instruction from team members.
- Maintains and strengthens relationships with associated vendors.
- Coordinates billing and other project accounting functions with the Project Coordinators and Accounting.
- Verifies order delivery and billing accuracy.
- Assists in executing quality assurance programs.
10% Engages in Personal Training and Development.
- Works with manufacturers to stay up on their current processes to ensure proper procedures are followed.
- Studies literature and attends seminars to keep current on products, processes and materials.
- Embraces feedback to be used for personal development.
10% Assists HVAC Equipment Team Lead.
- Pulls and compiles various reports.
- Assists with employee and department tasks.
- Takes minutes and follows up with action items from meetings.
QUALIFICATIONS:
Education
- Experience in Engineering, Engineering Technology, Construction or related fields preferred but not required.
Skills and Experience
- Ability to multi-task and juggle multiple projects simultaneously.
- Excellent oral and written communication skills.
- Excels in a diverse team environment.
- One to two years accounting related experience is beneficial.
- One to two years of construction industry experience is beneficial.
- An understanding of job cost reports and the ability to apply these to cost containment in handling of large projects is beneficial.
- Well versed in the utilization of Microsoft Office (Word, Excel, Power Point and Outlook) and any relevant software applications.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Mathematical abilities to add, subtract, multiply and divide all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and create and interpret graphs.
- Ability to build rapport and strengthen relationships with new and existing customers.
- Highly organized, thorough and detail oriented.
